Role Overview
As a Sales Coordinator, you will handle quotation preparation, billing processes, customer follow-ups, and sample management to ensure smooth sales cycles and client satisfaction.
Key Responsibilities
Quotation & BOQ Preparation:
Prepare accurate cost estimates, bills of quantities (BOQ), and proposals for projects.
Coordinate with technical teams to finalise project specifications.
Documentation & Follow-ups:
Track quotation submissions and conduct client follow-ups.
Maintain databases for pending and approved quotations.
Follow up for open quotations to drive conversions.
Invoicing & Billing:
Generate and process invoices, ensuring compliance with project terms.
Verify payment receipts and resolve billing discrepancies.
Follow up for payments from customers to ensure timely collections.
Customer Support & Sample Handling:
Handle local samples, including sending offers to customers and following up on samples sent.
Send TDS (Technical Data Sheets) / MSDS (Material Safety Data Sheets) to customers.
Draft emails and manage communication with customers for queries and updates.
Generate new customer codes in ERP systems for seamless onboarding.
Logistics & Tracking:
Check and track courier activities for the timely delivery of samples and documents.
Skills & Competencies
Strong organisational and multitasking abilities with attention to detail.
Excellent communication skills (verbal and written) for customer interactions and follow-ups.
Proactive problem-solving and ability to meet deadlines in a fast-paced environment.
Team player with a customer-centric approach.
