Job Description


JOB DESCRIPTION On boarding activities Coordintes induction and joining formalities of all new joiners. Ensure that documents such as Appointment Letter, Labour Contracts, , etc are issued to the new joiners at the time of joining. Registers new joiners under Biometrics and transfer data in respective working units. Prepares and ensures that the payroll system entries are updated with all relevant information. Ensure that the original certificates collected by the organization are handed back to the employees with acknowledgment. Leave Management & Payroll Maintains payroll information by designing systems directing the collection, calculation, and entering of data in the HR Software on time Gathering payroll inputs from units and finalize paysheets as per defined TAT Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, deductions and department/ division transfers Pays employees by directing the team and issuance of pay checks or electronic transfers to bank accounts Balances the payroll accounts by resolving payroll discrepancies. Provides payroll information by answering questions and requests. Maintains payroll guidelines by writing and updating policies and procedures. Send the Leave approval feedback back to the concerned person well in time. Maintain and update the Re-joining report Inform the concerned authority in case if the employee did not re-join on time due to any reason/s. Maintain and update Leave extension details and inform the concerned person after the approval from the necessary reporting authority. Ensure Verification of the attendance and LOP and update of the same in the HR Software Salary Management Prepare the monthly Salary advance loan statement and send it to accounts and update the same in the documents or necessary deductions Generate the Salary register Unit wise and cross verify it and forward to accounts for pay-out on or before TAT of every month. Inform about deductions to the concerned employee through the unit Incharge or personalized email. Disburse salary cheques for the employees without bank accounts. Proper maintenance of Salary registers & records. Ensures that the salary disbursement is done by last day of the month Prepare F & F for employees leaving the organization Statutory compliances Ensure compliance with statutory provisions with respect to people practices and processes Attendance Management Register attendance in the software. Ensure checking & monitoring of the Bio-Metric thump impression timings, attendance and attendance register of all the employees in corporate office / Units and report the discrepancy (if any) to the reporting authority Ensure Attendance posting of all the staff are complete before payroll processing. Employee services Prepare the Salary Certificate, NOC and other general letters to employees. Probationary Appraisal Prepare the monthly Probation eligible employees list and forward the same to the respective reporting authority to get the Evaluator/s. Coordinate and follow up with the Evaluator/s for their feedback. Generate summary register and forward to the Management (applicable to Managers and above). Post feedback, issue confirmation letter to the concerned employees and ensure that it is properly filed. Process re-evaluation if the probationary appraisal feedback is not satisfactory. Insurance Prepare and ensure that the monthly Deletion list for IP & Life Insurance is updated regularly. Verify that the Reimbursement claim details are accurate and send it to the Insurance Company for IP insurance. Maintain and update monthly Reimbursement / Cashless benefits details in the prescribed format on or before 5th of every month for IP insurance. Coordinate with the Insurance Companies and accounts for necessary premium credit note settlement. Contract Renewal Prepare the contract renewal list of the employees/doctors Initiate the renewal process based on the Appraisal feedback Maternity & Sick Leave Benefit Track maternity leave and re-joining. Issue documentations such as birth certificates, extension request etc. Make payment of maternity & special sick leave salary. Release the passport to the existing employees after collecting the necessary certificates. Collect passports at the time of re-joining. Maintain Personal File MIS & Records Maintain & update comprehensive interview, shortlist, selection details and other related notes in the Recruitment Tracker. Maintain personal files with accurate documentation of all employees as per the standard checklist. Ensure issuance and filing of different types of internal letters and salary certificates in personal employee files. Maintain update-to-date records of all employees on HRMS Exit Management Responsible for managing the exit interview process Ensure \'exiting employees\' receive and complete exit interview questionnaire/s, schedule exit interview, notify concerned departments of exiting employee status and facilitates return of company belongings. Others Any other special assignment given by the reporting manager. Assist in resolving queries from employees and serve employees\'s documents requirement from HR. Kerala with 4 hospitals and 1 educational institute forms a cluster, Bangalore with 2 hospitals + 1 hospital in Kolhapur forms another cluster and Andhra+Telangana another cluster.
