Job Description


Administrator, Payroll and benefits will be responsible for managing all the information, processes and administration of regular payroll, awards, incentives, benefits, perquisite income and various re-imbursements as per company policy.
Administrator will be responsible for disbursement of all compensation and benefits elements in an accurate, timely and confidential manner.
The payroll administrator's duties include the management of employee data, ensuring the accuracy of timesheets, computing wages, and ensuring employees are paid correctly and on time.
To be successful as a payroll administrator you should have strong numeracy skills and be able to multitask effectively. Ultimately, an outstanding payroll administrator should be able to manage all aspects of payroll in a timely and accurate manner.
Payroll Administrator Responsibilities:

  • Month to month tracking of payroll information, salary changes, new hires and exits, leave records, gifts, allowances, awards, food/ forex/ gift cards, per diem reimbursements etc. towards accurate and timely disbursement of monthly payroll.
  • To keep track of equity based incentive schemes and associated information towards accurate disbursement and taxation associated with it.
  • Preparing Attendance sheet of the month, keeping track of Extra Day Pay, New Hires days, Bank account details, PAN Card details, UAN & PF number details
  • Maintaining Flexi basket options of the employees and keeping track of any changes
  • Keeping track of One time payments to employees in the monthly payroll- Sign on Bonus, Spot and Recognition Awards, Maternity Bonus, Referral Bonus, Blog Awards etc
  • Keeping track of Voluntary contributions of Employees to Provident fund and National Pension scheme
  • Follow up with new hires for investment declarations and helping them with queries in this regards
  • Collating & Processing Internet Allowance sheet and Night Shift and on call allowance based on inputs from Managers
  • Interacting with various vendors such as banks, Insurance companies, NPS providers, gratuity scheme providers for availing correct schemes, updating data with them, getting the paperwork renewed and making sure associated compliances are taken care of
  • Solving employee queries and grievances with necessary interaction with employees, benefits providers and resolving the situations.
  • Providing inputs for preparing Full & Final settlement of exiting employees considering leaves, current salary, Flexi benefits availed, investment proofs submitted
  • Calculating payable hours, commissions, bonuses, tax withholdings, and deductions.
  • Complete Payroll Processing & Monthly Compliance. Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/ division transfers.
  • Checking employee reimbursements, Forex/travel expense.
  • Maintains payroll guidelines by writing and updating policies and procedures.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Conduct payroll related administrative duties, including filing, answering phone calls, responding to emails, and preparing documents
  • Collaborating with other financial personnel Ensuring compliance with laws and regulations
  • Coordinating with the HR department to ensure correct employee data.
  • Providing administrative assistance to the accounting department.

Payroll Administrator Requirements:
  • Minimum of a Masters’s degree in Accounting, Diploma in Law and Taxation will be a plus.
  • Minimum of 12- 15 years of experience in payroll & Benefits administration. Experience of working with a multinational company will be an advantage.
  • Knowledge of legal regulations, Income tax and TDS regulations associated with Income & benefits.
  • Knowledge of provident fund, Professional tax, National pension schemes, Gratuity scheme, Mediclaim Insurance processes, various labour law regulations, compliances and various current instruments such as Food Card, Gift Card, Forex card etc. is a must
  • Ability to maintain utmost confidentiality and professionalism about the information.
  • Hands-on Proficiency in MS Office for his/her day to day work as well as independently maintain necessary information in an organized manner.
