Job Description

:
We are seeking a detail-oriented and proactive Administration Officer to support the day-to-day operations of our construction company. The ideal candidate will have strong organizational and communication skills, with a good understanding of construction industry processes. You will be responsible for managing administrative tasks, ensuring smooth office operations, and supporting project and site teams as required.
Key Responsibilities:

  • Provide general administrative support to the office and construction project teams.
  • Manage correspondence (emails, letters, packages) and handle inquiries professionally.
  • Maintain filing systems (physical and electronic), including project documentation, contracts, and permits.
  • Assist with the preparation and submission of documentation for tenders, bids, and regulatory approvals.
  • Track and manage invoices, purchase orders, and delivery dockets; liaise with accounts and procurement teams.
  • Support HR-related functions such as onboarding, maintaining employee records, and timesheet collection.
  • Coordinate meetings, prepare agendas, and record meeting minutes.
  • Assist with compliance requirements, including WHS (Workplace Health & Safety) documentation and audits.
  • Manage office supplies and ensure smooth operation of office equipment.
  • Liaise with subcontractors, suppliers, and clients as needed.
  • Support senior management with reporting and ad hoc administrative tasks.
Skills:
  • Proven experience in an administrative role (experience in the construction industry is highly desirable).
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize workload in a fast-paced environment.
  • Familiarity with construction industry terminology and documentation is an advantage.
  • Knowledge of construction management software (e.g., Procore, Aconex, or similar) is a plus.
Candidate Profile:
  • Has good knowledge and experience of administering construction sites.
  • Has strong organizing and multitasking skills.
  • Has good interpersonal skills and problem-solving abilities.
  • Is fluent in the local languages.
  • Has working knowledge of MS Word and Excel.
  • Has very good verbal and written communication skills.
  • Displays tact and finesse in dealing with visitors and statutory authorities.
