Job Description

Key Responsibilities



Office & Facility Management



Oversee daily office operations, ensuring cleanliness, safety, and efficiency. Manage office supplies, stationery, and equipment inventory. Coordinate with vendors, service providers, and maintenance staff. Ensure compliance with company policies and statutory requirements.

Administrative Support



Manage correspondence, documentation, and filing systems (physical & digital). Draft, review, and circulate memos, reports, and official communications. Organize meetings, prepare agendas, take minutes, and follow up on action items. Manage calendars, travel bookings, and itineraries for senior executives.

Staff & HR Coordination



Support HR in onboarding, attendance, and leave management. Maintain employee records and assist in organizing training sessions. Coordinate team activities, workshops, and office events.

Financial & Compliance Assistance



Assist in preparing expense reports, vendor payments, and petty cash management. Maintain records of office expenditures and budgeting. Support audit requirements by ensuring proper documentation.

Project & Event Coordination



Provide administrative support for ongoing projects. Assist in planning and executing internal events, meetings, and conferences. Track deadlines and ensure timely completion of assigned tasks.

Qualifications & Skills



Education:

Bachelor's degree in Business Administration/Management or equivalent.

Experience:

2-5 years of experience in administrative or executive-level office management.

Technical Skills:

Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).

Communication:

Strong verbal and written communication skills.

Organizational Skills:

Excellent multitasking, time management, and problem-solving abilities.

Leadership:

Ability to supervise staff, delegate tasks, and manage office operations efficiently.

Confidentiality:

Strong integrity in handling sensitive information.

Working Conditions



Location:

Office-based with occasional field/vendor coordination.

Schedule:

Full-time (as per company policy).

Reporting to:

Admin Manager / HR Manager / Director (depending on structure).
