Objective:
To implement, configure, and maintain Zoho People and Zoho Payroll systems, ensuring seamless HR and payroll operations, system integrity, compliance, and process automation across the organization.
Key Roles and Responsibilities
1. Implementation & Configuration
Lead the end-to-end setup and configuration of Zoho People and Zoho Payroll modules.
Customize workflows, forms, approval processes, and automation rules based on organizational HR policies.
Set up salary structures, payroll components, tax rules, and statutory compliance in Zoho Payroll.
2. Process Mapping & Optimization
Work closely with HR and Finance teams to map existing processes and optimize them within Zoho.
Design and implement automated workflows for attendance, leave management, performance management, onboarding, exit, etc.
Ensure payroll processes align with statutory compliance (PF, ESIC, PT, TDS, etc.).
3. System Integration
Integrate Zoho People with other Zoho apps (e.g., Zoho Books, Zoho Recruit) or external systems like biometric devices, accounting software, etc.
Manage API integrations or third-party connectors, if required.
4. Data Management & Migration
Oversee accurate data import/migration from legacy systems to Zoho.
Maintain data accuracy across employee records, attendance, leave balances, payroll history, etc.
Regularly audit data and ensure timely updates.
5. Training & Support
Train HR, Finance, and other relevant stakeholders on system usage and updates.
Provide Ongoing Support to resolve technical or process-related issues.
Create user manuals, SOPs, and FAQ documents for internal teams.
6. Compliance & Audit Readiness
Ensure monthly payroll processing is timely, accurate, and compliant.
Generate payroll reports, payslips, and statutory filings (EPF, ESIC, PT, Form 16, etc.).
Maintain records and logs for audit readiness.
7. Performance Monitoring & Maintenance
Monitor system health, user access, and performance.
Conduct regular audits to identify gaps or errors in workflows.
Ensure data backup and security compliance as per company IT policy.
8. Continuous Improvement
Keep up with Zoho updates and new features to improve processes.
Suggest and implement enhancements or modules (e.g., LMS, PMS, Timesheet) as business needs evolve.
Proactively identify areas of automation to reduce manual HR and payroll tasks.
Required Skills & Experience
Hands-on experience in Zoho People and Zoho Payroll setup and customization.
Strong knowledge of Indian payroll compliance (PF, PT, ESIC, TDS).
Understanding of HR processes and best practices.
Good analytical and problem-solving skills.
Experience in data migration, integration, and report generation.
Ability to train and support cross-functional teams.
Preferred Qualifications
Bachelor's Degree in HR, IT, or related field.
Certification in Zoho People (if available) or equivalent ERP systems.
Prior experience with payroll software or ERP implementation (SAP, Oracle, etc.) is a plus.
