Zoho Books Job Responsibilities (Accounting/Finance Focus)



Zoho Books is an online accounting software for managing finances, automating business workflows, and staying on top of cash flow.

1.

Bookkeeping & Accounting



Record and categorize financial transactions (sales, purchases, expenses). Reconcile bank statements with Zoho Books entries. Ensure accurate ledger maintenance and journal entries.
2.

Invoicing & Payments



Create, send, and track customer invoices. Record payments and manage overdue invoices. Set up recurring invoices and auto-reminders.
3.

Expense Management



Record, categorize, and track business expenses. Attach receipts and manage expense approvals.
4.

Tax Compliance



Set up tax rules and calculate GST/VAT/sales tax. Generate tax reports for filing. Ensure compliance with regional tax laws.
5.

Financial Reporting



Generate P&L statements, balance sheets, and cash flow reports. Analyze financial trends and provide recommendations.
6.

Automation & Workflow Management



Automate recurring accounting tasks. Set approval workflows for bills, expenses, and purchase orders.
7.

Integration & Collaboration



Sync with payment gateways, banks, and other Zoho apps. Work with accountants and external auditors by granting access.

Zoho Inventory Job Responsibilities (Inventory/Operations Focus)



Zoho Inventory is an online inventory management software for growing businesses.

1.

Inventory Management



Add and organize products, SKUs, and stock levels. Set reorder points and manage low stock alerts. Track inventory across multiple warehouses or locations.
2.

Order Management



Create and manage sales and purchase orders. Track order statuses from creation to delivery. Manage backorders, dropshipping, and fulfillment.
3.

Shipping & Logistics



Integrate with shipping carriers (FedEx, UPS, DHL). Generate shipping labels and packing slips. Track shipment and delivery status.
4.

Warehouse Management



Manage multiple warehouses and stock transfers. Optimize stock allocation and space utilization.
5.

Reports & Analytics



Generate inventory valuation, stock summary, and sales reports. Forecast demand based on historical data.
6.

Integration with Zoho Books



Sync purchase/sales data with Zoho Books for financial tracking. Ensure consistency between accounting and inventory records.
7.

Automation & Barcode Scanning



Automate stock updates and reorder processes. Use barcode scanners for real-time stock updates.
Combined Role (Zoho Books + Inventory)

In smaller businesses, one person may handle both systems. In such cases, responsibilities include:

End-to-end order-to-cash and procure-to-pay process management. Accurate inventory costing and integration with financial records. Ensuring real-time visibility between stock levels and financial health.
