Workplace Services Co-ordinator

Summary Of Role

To support the global Workplace team with a range of projects, management of service providers, service level agreements/performance measurements and the provision of requested management information as required.

Main Duties

To monitor the Service Level Agreements/ KPI's and ensure stakeholder satisfaction.

Collate and produce management information, KPI's, reports and presentations

Undertake auditing of all service partners and collate relevant information to form part of the performance reporting process.

To support the delivery of global Workplace projects.

To be proactive and provide innovative ideas and solutions enabling service improvements throughout the Workplace function.

To strive for best value and cost-effective solutions relating to the provision of the Workplace delivery model including that of the outsourced service partners.

Collate and produce management information reports and presentations

Assist with the preparation of forward planning and budgeting.

To review and update all data relating to the Workplace function.

To assist with the creation of policies and procedures and take ownership of ensuring these are kept up to date.

To be actively involved in the processes of tendering any of the outsourced vendor services and assist in the mobilisation of any new vendors should any service provider be changed.

Update central records surrounding property and estates space utilisation and occupancy levels including surveys surrounding utilisation.

Support the team with OPEX/CAPEX, budgets, reports, and service delivery.

Adhoc support when required by the team.

Essential

Candidate Requirements:

Experience in a similar role

Fully proficient in MS Word, Excel, and PowerPoint.

Proficient at report writing, creating, and presenting presentations.

Knowledge of CAFM

Able to manage a diverse workload and prioritise accordingly with high a level of initiative and commitment to meeting goals

Experience of supporting a business contract and/or providing support to a professional function.

Project management experience.

Desirable

Knowledge of Management Systems (e.g., ISO45001/ISO14001)

Facilities qualification such as IWFM

Experience in using Power BI

Project management qualification such as PRINCE2
