The Event Coordinator - RSVP & Guest Management is responsible for overseeing all aspects of guest communication and attendance tracking for events. This role ensures smooth coordination of invitations, RSVPs, confirmations, and on-site check-ins, while maintaining a high standard of professionalism and guest experience.
Key Responsibilities:
RSVP & Guest Management
Create, distribute, and track invitations and RSVP responses across multiple platforms (email, web forms, event software).
Maintain accurate and updated guest lists, including dietary preferences, seating assignments, and special requests.
Follow up with invitees who have not responded by set deadlines.
Manage last-minute changes, cancellations, and on-site additions smoothly.
Event Coordination
Collaborate with vendors (caterers, venue staff, security, etc.) to align RSVP numbers and logistics.
Support event setup, guest registration, and check-in processes using digital tools or manual systems.
Ensure a seamless guest experience from invitation to post-event communication.
Coordinate with internal teams (marketing, communications, operations) to ensure consistent event messaging.
Data & Reporting
Generate and analyze RSVP reports for attendance tracking and event planning.
Reconcile final attendance numbers post-event for budget and performance reporting.
Maintain guest databases and ensure data privacy compliance (GDPR, etc.).
Qualifications & Skills:
Education:
Bachelor's degree in Event Management, Hospitality, Marketing, or related field preferred.
Experience:
2-4 years of experience in event coordination, guest relations, or RSVP management.
Proven experience with event software such as Cvent, Eventbrite, RSVPify, Bizzabo, or Splash.
Skills:
Excellent organizational and time-management abilities.
Strong communication and interpersonal skills -- professional and tactful in guest interactions.
Detail-oriented with strong data management and Excel/Google Sheets proficiency.
Ability to multitask and remain calm under pressure.
Creative problem-solving and flexibility to handle last-minute changes.
