We are currently seeking a detail-oriented and responsible
Warranty In-Charge
to handle
all warranty-related operations
for the service department at our Thottada location. The ideal candidate should have in-depth knowledge of Mahindra warranty processes, claims management, and dealer DMS systems.
Position Overview
The
Warranty In-Charge
will be responsible for managing, processing, and monitoring all
vehicle warranty claims
, ensuring full compliance with
Mahindra's Warranty Policies and Guidelines
.
This role requires precision, documentation discipline, and close coordination with
Service Advisors, Technicians, and Mahindra's Regional Warranty Office
to ensure smooth claim settlements and zero rejections.
Key Responsibilities1. Warranty Claim Processing
Register, document, and process all warranty claims in the
Dealer Management System (DMS)
.
Verify job cards, parts replaced, and labor entries as per
Mahindra warranty norms
.
Ensure accuracy and completeness of claim documentation before submission.
Upload claims and supporting documents in Mahindra's warranty portal within stipulated timelines.
Track approval, rejections, and pending claims on a daily basis.
2. Policy Adherence & Documentation
Maintain up-to-date knowledge of
Mahindra's Warranty Policy, Technical Bulletins, and Circulars
.
Ensure all claims strictly comply with OEM-approved repair procedures and parts usage.
Retain warranty parts as per Mahindra's audit retention period and guidelines.
Prepare and maintain complete claim records for
audit readiness
.
3. Coordination & Communication
Coordinate with
Service Advisors and Workshop Technicians
to verify fault diagnosis and repair accuracy.
Liaise with
Mahindra's Regional Warranty Team
for claim approvals and clarifications.
Work with the
Parts Department
to ensure accurate parts tagging and return process.
Support the
Service Head
in warranty performance reports and monthly OEM reviews.
4. Analysis & Improvement
Track warranty trends -- repeat repairs, part failures, or high claim ratios.
Provide feedback to Service and Technical teams to prevent avoidable warranty losses.
Contribute to root cause analysis for major warranty rejections.
Assist management in implementing cost control measures on goodwill and policy claims.
5. Audit & Compliance
Ensure readiness for Mahindra warranty audits (internal and OEM).
Maintain proper tagging, segregation, and storage of replaced parts.
Close loop on rejected claims within timelines by corrective resubmission.
Adhere to
First Time Right (FTR)
claim filing and minimize rework.
Qualifications & Experience
Diploma / Bachelor's Degree in Automobile or Mechanical Engineering.
3-7 years of experience
in a service department warranty role (Mahindra experience preferred).
Strong understanding of Mahindra DMS, warranty claim systems, and process flow.
Excellent documentation, analytical, and communication skills.
Knowledge of MS Excel and basic reporting tools.
