Verify customer complaints and ensure they are eligible for warranty coverage as per manufacturer policies.
Prepare and submit warranty claims accurately within the stipulated time frame.
Ensure all supporting documents (job cards, photos, parts invoices, etc.) are attached before claim submission.
Track claim status regularly and follow up with the manufacturer for approvals or rejections.
Maintain detailed records of all warranty claims and approvals.
File warranty claim copies and maintain digital records for audit purposes.
Update warranty logs, MIS reports, and monthly claim summaries.
Liaise with service advisors and technicians to verify defective parts and ensure correct diagnosis.
Coordinate with the manufacturer's warranty department for claim clarifications or technical issues.
Communicate warranty claim status to customers when required.
Ensure proper tagging and storage of warranty-return parts until collected by the manufacturer.
Maintain segregation between warranty parts and normal scrap.
Track pending part returns and ensure compliance with OEM return policies.
Stay updated with the latest warranty policies, bulletins, and updates from the manufacturer.
Assist in training service staff about proper warranty claim documentation and procedures.
Prepare monthly reports on claim submission, approval, rejection, and recovery rates.
Analyze claim rejections and implement corrective actions to reduce errors.
Provide feedback to the service manager regarding recurring failures or product issues.
Explain warranty terms and conditions to customers when required.
Handle warranty-related customer complaints and ensure resolution as per policy
