To facilitate efficient administrative and clerical support on the ward; ensuring smooth flow of patient admissions, discharge, transfers, and documentation -- thereby enabling medical and nursing staff to focus on care delivery.
Greet and register incoming patients.
Complete admission formalities: collect necessary documents (ID, address, patient history, consent forms).
Update patient database / hospital information system accurately.
Coordinate patient transfers within hospital wards as per instructions.
Facilitate discharge process: ensure paperwork, billing clearance, and patient instructions are completed.
B. Record-Keeping & Documentation
Maintain ward log books (admissions, discharges, transfers, bed occupancy, waiting list).
File and organize patient records, reports, test results, consent forms, referral letters.
Ensure that patient files are kept confidential and securely stored.
Assist in preparing daily/weekly/monthly ward reports: bed occupancy, admissions/discharges statistics.
C. Coordination & Communication
Act as a bridge between patients/families and hospital staff (nurses, doctors, billing, housekeeping, lab, radiology).
Inform nursing or medical staff about new admissions, transfers, discharges.
Notify housekeeping or housekeeping supervisor when beds become vacant and need cleaning.
Coordinate with billing/cash counter for new admissions and discharge formalities.
D. Patient & Visitor Assistance
Provide information to patients and relatives regarding ward procedures, visiting hours, hospital policies.
Assist patients/visitors in filling out forms or understanding admission/discharge instructions if required.
Manage and organize patient and visitor enquiries, and escalate issues when necessary.
E. Ward Administration Support
Track and manage ward stationary and office supplies (registers, forms, files).
Assist in inventory management of ward paperwork and stationary.
Ensure ward clerical area is tidy and organized.
Support the nursing admin team for audits, patient census, reporting as needed.
3. Qualifications & Requirements
10+2 (or equivalent) minimum required. Graduation preferred.
Basic computer literacy (MS Office, hospital management software / electronic medical records preferred).
Good written and verbal communication skills in local language(s) and English.
Basic knowledge of hospital admission/discharge procedures -- any prior hospital/clinic clerical experience is a plus.
Understanding of patient confidentiality and hospital administrative protocols.
