Job Description

Core Job Responsibilities

1. Patient Experience & Relationship Management



First Point of Contact:

Greet and guide patients arriving at the clinic with a professional and friendly approach.

Query Handling:

Manage enquiries via phone, WhatsApp, and walk-ins, providing non-clinical information about services and treatments.

Appointment Coordination:

Assist in scheduling appointments, follow-ups, and patient reminders to ensure a smooth workflow.

Feedback Collection:

Conduct satisfaction calls and manage patient feedback to improve clinic services.

2. Brand Image & Marketing



Promotion:

Develop and implement offline and online promotional strategies for specialized services like implants or "smile design".

Social Media Management:

Oversee content for the clinic's social media platforms and website to maintain an active, positive online presence.

Publicity Materials:

Assist in creating brochures, flyers, and newsletters that educate patients on dental hygiene and clinic offerings.

Community Outreach:

Organize and represent the clinic at health camps, community awareness drives, and local promotional events.

3. Networking & Referral Building



Professional Relations:

Build and maintain relationships with local general physicians and other medical professionals to encourage referrals.

Referral Records:

Track referral sources and maintain records to evaluate the effectiveness of outreach efforts.

4. Crisis & Conflict Resolution



Issue Escalation:

Act as a bridge to resolve patient grievances or complaints promptly and empathetically.

Reputation Management:

Handle sensitive situations or negative feedback professionally to protect the clinic's reputation.

5. Internal Operations



Staff Liaison:

Coordinate with dentists, dental assistants, and the administrative team to ensure seamless patient care.

Reporting:

Prepare daily or monthly reports on patient enquiries, satisfaction levels, and marketing activity success.
Essential Skills

Excellent Communication:

Proficiency in local languages and English for clear patient interaction.

Interpersonal Skills:

A polite, "patient-first" attitude with strong empathy.

Multitasking:

Ability to handle multiple administrative and promotional tasks in a fast-paced environment.

Basic Technical Proficiency:

Familiarity with CRM tools, MS Office, and WhatsApp Business.
