Collect required documents from clients
Verify documents for completeness and basic validity
Scan, organize, and upload documents to CRM / visa portals
Maintain physical & digital records properly
3. Application Support
Assist in creating client profiles on immigration/college portals
Fill basic forms (under guidance of counselor/consultant)
Track application status (college + visa)
Update clients on progress
Coordinate with colleges, embassies, and third-party agencies
4. Finance & Billing
Prepare invoices & receipts
Handle client payments & follow-up for pending dues
Maintain daily cash / online transaction reports
Coordinate with accounting for reconciliation
5. Operational Support
Maintain office supplies, stationery, and equipment
Schedule meetings and maintain calendar for directors/counselors
Coordinate courier services (passport dispatch, transcripts, legal docs)
Ensure cleanliness and hospitality environment (waiting area, refreshments)
6. Compliance & Confidentiality
Keep sensitive client data confidential
Follow data protection & compliance standards
Ensure no fake documents or forged papers are processed
Report suspicious cases to senior management
7. College / Embassy Coordination
Communicate with universities/colleges for:
Offer letters
Fee payments
Enrollment confirmations
CAS / COE / LOA approvals
Communicate with VAC/VFS when required (appointments, biometrics, passport submission)
8. CRM & Reporting
Update CRM system for every client interaction
Track pipeline: Applied ? Offer ? Visa ? Pre-departure
Prepare weekly/monthly reports on:
Admissions
Visa outcomes
Revenue
Pending tasks / escalations
