ResponsibilitiesBusiness Research & Lead Support
Research businesses online to identify potential clients for Luniea
Review websites, social media presence, and digital activity to assess fit
Maintain and update prospect lists with notes and insights
Client Communication & Follow-ups
Assist with replying to emails and client messages (based on guidance/templates)
Track follow-ups, pending actions, and responses
Follow up on invoices, payments, and client approvals
Admin & Documentation
Prepare contracts, quotations, proposals, and onboarding presentations
Organize and maintain client documents and internal files
Support basic bookkeeping coordination (tracking invoices, payment status)
Team & Task Coordination
Track team member tasks and deadlines
Add, update, and organize tasks in project management tools
Support onboarding of new team members (documents, task setup, access lists)
Scheduling & Coordination
Schedule meetings with clients, team members, and external stakeholders
Manage calendars and meeting confirmations
Ensure agendas and follow-up notes are organized
Additional Support (as needed)
Maintain internal trackers, spreadsheets, and reports
Assist with process documentation and workflow improvements
Support day-to-day operational needs of the founder and team
Requirements
Strong organizational and communication skills
Comfortable working with email, calendars, documents, and spreadsheets
Ability to handle multiple tasks and prioritize effectively
Attention to detail and follow-through
Experience supporting founders, agencies, or remote teams is a plus
Qualifications
Advanced proficiency in English (written and verbal) is required.
Bachelor's degree in Business Administration or a related field (required)
MBA or equivalent postgraduate qualification is strongly preferred*
Minimum 5 years of professional experience
in a similar role (Virtual Assistant, Operations Assistant, Administrative Coordinator, Business Support, or Agency Support role)
Strong understanding of
business operations, client coordination, and administrative workflows
Excellent
written and verbal communication skills

organization, time management, and attention to detail
Ability to
work independently
