Coordinate with Procurement to confirm Purchase Order (PO) approvals as needed.
Initiate and manage background checks via platforms like HireRight, ensuring compliance with regional requirements.
Documentation Management:
Prepare and send all required forms as well as track outgoing and incoming responses, ensuring timely completion.
Ensure approval across all required cross-functional teams.
Generate and submit new hire alerts within ServiceNow to ensure contractors are accurately onboarded into internal systems.
Communication and Support:
Serve as a point of contact for contractors during the onboarding process, addressing any issues or questions that may arise.
Tracking and Reporting:
Maintain up-to-date records of contractor onboarding activities in other internal systems.
Track and report on onboarding progress to ensure all required steps are completed within the encouraged timeframe.
Manage and process all Workday transactions for contingent workers.
Conduct monthly and weekly audits of contractor records in Workday.
Support the onboarding and employment authorization process for employees requiring H?1B visas and immigration paperwork.
Coordinate closely with external immigration counsel on all visa and immigration matters, including H?1B, PERM, and green card cases.
Manage employee immigration documentation, case preparation, and submission to ensure full compliance with USCIS and Department of Labor (DOL) regulations.
Track and monitor visa timelines, expiration dates, renewals, and status changes, providing proactive guidance to employees and hiring managers.
Serve as the primary point of contact for employee immigration?related inquiries, delivering timely, accurate, and confidential support throughout the employee lifecycle.
Oversee complex and sensitive immigration cases, including strategy discussions, documentation coordination, and interpretation of nuanced regulatory requirements.
Complete time?sensitive immigration updates such as extensions, renewals, and status changes to prevent employment disruptions or compliance risks.
Maintain accurate records and documentation related to immigration cases and onboarding milestones.
What we need to see:
Bachelor's degree in related field or equivalent experience.
3-5+ years of contingent workforce project management experience, with a proven track record in fast-moving and fast-scaling environments.
In-depth knowledge of contingent workforce management best practices and contingent worker classifications.
A hands-on approach--willingness to roll up your sleeves and actively manage job requests, workforce operations, and vendor performance.
Strong organizational and time-management skills with the ability to balance. multiple ongoing projects and tasks.
Excellent communication skills, both written and verbal.
Proficiency in managing documentation through platforms like DocuSign.
Excellent analytical skills including proficiency with dashboards, MS Excel, and Visualization.
Ability to work collaboratively with cross-functional teams including Legal, Procurement, and HR.
High attention to detail, with the ability to track and manage compliance-related documentation.
Experience of Workday and VMS tools.
