About the Role
MD Research Organisation is inviting applications for the position of US Medical Conference Event Coordination Intern - Sales & Advertising. This internship is designed for motivated individuals who wish to gain hands-on exposure to US-based medical conferences, academic events, sponsorship sales, and digital advertising.
The intern will work closely with senior team members and US-based stakeholders to support the planning, promotion, and execution of international medical conferences. This role offers practical learning in event management, business development, and professional communication within a global startup environment.
The intern must be willing to work during US time zones and demonstrate strong professionalism, commitment, and learning ability.
Key Responsibilities
1. Conference & Event Coordination
Plan, coordinate, and execute US medical conferences, workshops, webinars, and academic events hosted or co-hosted by MD Research.
Manage event timelines, milestones, deliverables, and coordination calendars.
Liaise with speakers, panelists, moderators, sponsors, and partners for confirmations, scheduling, and onboarding.
Coordinate virtual and hybrid event logistics including platforms, rehearsals, and live-session support.
Ensure seamless execution before, during, and after events.
2. Sales & Sponsorship Management
Identify and approach potential sponsors, partners, exhibitors, and institutional collaborators for US medical conferences.
Prepare and pitch sponsorship proposals, event decks, and customised partnership offerings.
Drive conference revenue through sponsorship sales, delegate registrations, and institutional tie-ups.
Follow up with leads, negotiate terms, and close sponsorship and advertising deals.
Maintain sponsor relationship management before, during, and post-event.
3. Advertising & Promotions
Plan and execute digital advertising strategies for conferences across platforms such as email campaigns, LinkedIn, professional networks, and academic forums.
Coordinate with internal marketing teams or external vendors for creatives, content, and promotional materials.
Monitor campaign performance, registrations, and conversion metrics.
Ensure compliance with academic and medical advertising standards.
4. Delegate & Registration Management
Handle delegate registrations, enquiries, confirmations, and payment coordination.
Communicate professionally with international participants regarding schedules, access, certificates, and event logistics.
Maintain accurate attendee databases and reporting records.
5. Stakeholder Communication & Coordination
Act as the primary coordination point between US-based stakeholders and internal teams.
Conduct meetings, follow-ups, and coordination calls during US working hours.
Ensure clear documentation, reporting, and communication of event-related updates.
6. Documentation & Reporting
Prepare event reports including sales performance, sponsorship revenue, registrations, and advertising impact.
Maintain structured records of sponsors, speakers, vendors, and partners.
Assist in drafting MoUs, collaboration outlines, and event-related documentation where required.
Eligibility & Qualifications
Mandatory Requirements
Currently pursuing or recently completed a degree in Management, Marketing, Healthcare Management, Life Sciences, Law, Business Administration, or related fields.
Strong interest in medical conferences, event management, sales, and advertising.
Good written and verbal communication skills in English.
Willingness and ability to work US time shifts (IST 1:00 AM - 8:00 AM).
Basic understanding of professional email communication and online meetings.
Preferred Qualifications
Prior internship or academic exposure to event management, sales, marketing, or healthcare-related projects.
Familiarity with LinkedIn outreach, email campaigns, or basic digital marketing tools.
Interest in working with US-based organisations and international professionals.
Ability to learn quickly and work independently under guidance.
Preferred Qualifications
Experience working with US-based organisations, startups, or academic institutions.
Familiarity with medical, healthcare, or research conferences.
Experience in digital marketing, CRM tools, email marketing platforms, or event management software.

Internship Terms
This is a 5-month internship with structured learning and performance-based responsibilities.
A stipend will be provided to selected interns as per organisational policy.

High-performing interns may be considered for future contractual or extended engagement opportunities with MD Research Organisation.
