We are a fast-growing U.S. staffing company hiring W-2 employees across multiple states. We are seeking a detail-oriented and reliable Accounting & Payroll Manager who can independently manage all accounting, payroll, and compliance functions using QuickBooks.
This role is ideal for someone who understands U.S. staffing operations, multi-state payroll, and end-to-end accounting -- from invoicing and expense tracking to tax filings and financial reporting.
Key Responsibilities:
Payroll & Compliance
Process weekly or bi-weekly payroll for W-2 employees in QuickBooks.
Manage state registrations (SUI/SIT, tax IDs, and unemployment accounts) for new states as the company expands.
File quarterly and annual payroll tax returns (IRS Form 941, 940, and state equivalents).
Generate and file W-2s and 1099s at year-end.
Ensure full compliance with federal and state labor and tax regulations.
Accounting & Bookkeeping:
Record all income and expenses accurately in QuickBooks.
Manage accounts receivable/payable, client billing, and payments.
Prepare and send invoices to clients; track and follow up on collections.
Perform bank and credit card reconciliations monthly.
Maintain a clean chart of accounts aligned with staffing operations.
Track consultant hours (if applicable) and ensure accurate client billing.
Financial Management & ReportingPrepare monthly financial statements (P&L, Balance Sheet, Cash Flow).
Provide regular updates on cash position, receivables, and expenses.
Support management with budgeting and cost analysis.
Coordinate with external CPA for quarterly and annual tax filings.
Tax & Compliance Support:
Maintain compliance with state and federal tax laws.
File and pay sales, franchise, and business taxes (as applicable).
Assist with year-end closings, audit preparation, and CPA reviews.
Qualifications:
Bachelor's degree in Accounting, Finance, or a related field.
3-5 years of accounting and payroll experience -- preferably in the staffing or professional services industry.
Proficiency in QuickBooks Online (mandatory).
Strong understanding of multi-state payroll and tax filing requirements.
Experience handling W-2 employees and independent contractors.
Knowledge of U.S. GAAP and accounting best practices.
Excellent attention to detail, time management, and communication skills.
Ability to work independently with minimal supervision.
Preferred Skills
Experience registering and managing state tax IDs (SUI/SIT).
Familiarity with 1099 processing, EFTPS, and state tax portals.
Ability to streamline processes and create simple reports/dashboards in QuickBooks.
Experience working with remote teams or multiple clients.
