Position Overview:



The Travel Executives will be responsible for marketing, sales and operations travel arrangements for clients, staff, and vendors associated with various events. This includes booking flights, hotels, transportation, and creating detailed itineraries. The role involves working closely with vendors, ensuring cost-effective travel solutions, and ensuring the highest levels of client delight. The Travel Manager will also be expected to manage budgets, negotiate with suppliers, and resolve any travel-related issues that may arise during the tour planning and execution process.

Key Responsibilities:



Travel Arrangements Management:

Marketing, Sales, Operation, Plan, book, and coordinate all travel logistics for clients, event staff, and vendors, including flights, accommodation, transport, and other related services. Develop detailed itineraries and ensure timely communication of travel details to all relevant parties.

Vendor & Supplier Negotiations:

Establish and maintain relationships with travel service providers, including airlines, hotels, and transport companies. Negotiate cost-effective and beneficial contracts and agreements, securing the best possible rates for travel services.

Budget Management & Cost Control:

Create and manage travel budgets for events, ensuring cost-effective solutions and adhering to budget guidelines. Track and report all travel-related expenses and ensure compliance with company travel policies.

Client Delight:

Ensure that all travel arrangements meet client expectations and exceed service quality standards. Address and resolve any client or staff travel-related issues promptly and professionally.

Travel Policy Compliance:

Ensure adherence to company travel policies and ensure that all necessary documentation, including travel records and receipts, are filed appropriately. Stay updated on industry regulations and guidelines to ensure compliance with travel rules and policies.

Crisis Management & Problem Solving:

Manage any travel disruptions, such as cancellations, delays, or changes, and provide timely solutions. Work under pressure to ensure smooth travel logistics and minimal disruption to event schedules.

Team Collaboration:

Collaborate with event managers, logistics coordinators, and other internal departments to ensure that travel plans align with event schedules and requirements. Provide support to event teams by offering expert travel advice and solutions.

Reporting & Documentation:

Maintain accurate and organized travel records and reports. Prepare and present regular reports on travel expenses and any travel-related issues.

Travel Arrangement Accuracy and Timeliness:

Ensure that all travel arrangements are booked and confirmed within designated time frames. Maintain error-free itineraries and travel schedules.

Budget Management:

Effectively manage travel budgets for each event, ensuring all costs are controlled and accounted for. Track and report savings from negotiated rates with vendors.

Client and Stakeholder Delight:

Ensure that 100% of clients are satisfied with the travel arrangements, as measured by post-event surveys and feedback. Address and resolve 95% of travel-related issues within 24 hours.

Vendor and Supplier Relationship Management:

Build and sustain relationships with travel service providers, ensuring long-term partnerships and favorable terms. Achieve a

reduction in travel expenses through successful negotiations with vendors.

Documentation & Reporting Efficiency:

Ensure that all travel-related documentation is filed correctly and accessible within 24 hours of the event. Prepare and deliver timely reports on travel expenditures and service quality.

Timeliness of Travel Arrangements:

Target

: Ensure 100% of travel bookings are completed

at least 5 days before event start date

: Monitor time from booking to confirmation and ensure all arrangements are finalized within the given time frame.

reduction in travel costs through vendor negotiations and alternative travel solutions.

: Track savings compared to the budgeted travel costs.

Client Delight:

Target

: Maintain a

90%+

client delight rate for travel arrangements.

Measurement

: Collect feedback by video bite via surveys and direct communications post-event.

Vendor Performance:

Target

: Maintain strong relationships with at least

15 travel suppliers

ensuring optimal terms and discounts.

Measurement

: Evaluate vendor performance based on service quality, cost-effectiveness, and reliability.

Problem Resolution Efficiency:

Target

: Resolve 100% of travel disruptions within

48 hours

: Track response time to issues and resolution rate.

Qualifications & Skills:



Education

: Bachelor's degree in Travel Management, Hospitality, Business Administration, or related field.

Experience

: At least

3-5 years

of experience in travel management, preferably in the event management or hospitality industry.

Skills

: Expertise in travel booking systems, including GDS (Global Distribution Systems) and other related software. Strong negotiation and vendor management skills. Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and other relevant software. Excellent communication, interpersonal, and organizational skills. Strong problem-solving abilities and decision-making skills. Ability to work under pressure and meet tight deadlines. Experience with budgeting and financial reporting.
