Job Title: Travel Desk to CEO (Female Only)



Location: Corporate Office

Department: Executive Office / Administration



Reporting To: CEO



Job Purpose:



To provide comprehensive end-to-end travel planning, coordination, and support exclusively for the CEO, ensuring smooth, timely, and efficient travel experiences aligned with business goals and preferences.



Key Responsibilities:



1. Travel Planning & Booking



u

Manage domestic and international flight reservations (commercial and charter if applicable).



u

Arrange visa, passport, and travel insurance services.



u

Coordinate with consulates and travel agents for urgent/priority documentation.



u

Book hotels, airport transfers, cabs, and intercity travel in line with CEO's preferences and corporate policies.



2. Itinerary Management



u

Prepare detailed, day-by-day itineraries with all logistics, meeting schedules, and emergency contacts.



u

Update real-time changes and ensure seamless communication with stakeholders.



3. VIP Protocol Handling



u

Liaise with airport protocol teams for VIP handling, security clearance, and lounge access.



u

Coordinate with event organizers, hotels, or host companies for hospitality arrangements.



4. Expense & Compliance Management



u

Maintain expense logs for travel reimbursements and reporting.



u

Ensure adherence to travel budgets and company travel policy.



u

Submit timely MIS/travel reports to the CEO's office.



5. Emergency Support



u

Be available 24x7 to manage last-minute changes, cancellations, or issues during travel.



u

Provide alternate arrangements proactively in case of disruptions.



6. Confidentiality & Professionalism



u

Handle sensitive information related to CEO's schedule with utmost discretion.



u

Ensure all communication and conduct is highly professional.



Key Skills and Qualifications:



u

Bachelor's degree or equivalent in Hospitality/Business Administration or related field.



u

Minimum 3-5 years' experience in managing senior-level executive travel.



u

Strong network with travel agencies, airlines, and hotels preferred.



u

Exceptional communication, coordination, and crisis-handling skills.



u

Tech-savvy with tools like MS Office, Google Calendar, and travel management software.



Preferred Qualities:



u

High level of integrity and trustworthiness.



u

Discreet, organized, and proactive.



u

Ability to work under pressure and tight deadlines.



u

Prior experience handling CEO/CXO-level travel is a strong plus.
