The Travel Desk Executive is responsible for managing and coordinating all travel-related activities for employees, including ticket bookings, hotel reservations, visa processing, and travel reimbursements. The role ensures smooth, cost-effective, and compliant travel arrangements aligned with company policies.
Key Responsibilities:
1. Travel Planning & Coordination
Arrange domestic and international travel for employees (air, train, and road).
Coordinate hotel accommodations, local transportation, and itinerary planning.
Ensure bookings are made in accordance with company travel policy and budgets.
Provide travel options and negotiate the best rates with vendors.
2. Vendor Management
Liaise with travel agencies, airlines, hotels, and transport providers.
Maintain and update a list of approved travel vendors.
Negotiate corporate rates and service agreements.
Evaluate vendor performance and ensure service quality..
3. Financial & Reporting
Prepare travel expense reports and assist with reimbursements.
Track travel expenditures and identify cost-saving opportunities.
Provide periodic reports on travel spending and trends to management.
4. Communication & Support
Provide travelers with necessary information, itineraries, and travel updates.
Handle last-minute travel changes, cancellations, and emergencies.
Support new employees and guests with travel logistics.
