A 5-star hotel Travel Desk Executive is responsible for providing guests with seamless, luxurious, and highly personalized travel and itinerary planning services. This role is crucial in enhancing the overall guest experience by serving as a one-stop-shop for all local and international travel and excursion needs.

Summary



The Travel Desk Executive is the primary point of contact for all guest travel, tourism, and transportation requirements. They are tasked with planning, coordinating, and executing bespoke itineraries, managing bookings, and offering expert local knowledge to ensure a comfortable, convenient, and memorable stay for every guest.

Core Responsibilities and Duties



Guest Travel and Itinerary Management



Design Custom Itineraries:

Create, present, and book highly personalized and sophisticated travel itineraries, local tours, and excursions tailored to the luxury preferences of 5-star hotel guests.

Booking and Reservation Management:

Efficiently handle and confirm bookings for flights, luxury car rentals (with/without chauffeur), private transport, train tickets, helicopter transfers, and exclusive dining/event reservations.

Local & Tourism Advisory:

Serve as an expert on local attractions, cultural events, premium shopping districts, and fine dining establishments, providing well-informed recommendations and insider tips.

Documentation Assistance:

Assist guests with travel-related documentation, including visa requirements, travel insurance, and ensuring all required travel paperwork is accurately prepared and presented.

Transportation Coordination:

Arrange and manage hotel transport services, including airport pickups/drops, local shuttle services, and coordination with valet and bell desk for smooth luggage handling.

Vendor and Administration



Vendor Negotiation:

Negotiate preferential rates and secure complimentary upgrades or value-added services with airlines, luxury transport companies, local tour operators, and other travel vendors.

Maintain Records:

Accurately maintain detailed records of guest travel preferences, itineraries, and all booking documentation in the hotel's Property Management System (PMS) and relevant travel software.

Budget Management:

Monitor and track costs for guest travel services, process payments, and ensure accurate billing on guest folios.

Service Excellence and Problem Solving



24/7 Support:

Provide proactive and

24/7 responsive support

to guests for any travel emergencies, last-minute changes, or unforeseen disruptions (e.g., flight delays, cancellations) with professional and calm problem-solving.

Cross-Departmental Coordination:

Liaise seamlessly with the Concierge, Front Office, Housekeeping, and Finance departments to ensure guest requests are met promptly and service delivery is synchronized.

Feedback and Follow-up:

Solicit guest feedback on travel arrangements and services to continuously improve the offerings and maintain the hotel's high standards of service.

Required Skills and Qualifications



Qualifications



A

Bachelor's degree

in Hospitality Management, Travel & Tourism, Business Administration, or a related field is often preferred. Relevant professional certifications (e.g., Certified Travel Associate (CTA)) are a plus. Minimum of 2-3 years of experience in a luxury hotel, corporate travel management, or high-end travel agency setting.

Proficiency in Global Distribution Systems (GDS)

such as Amadeus or Sabre, and familiarity with hotel Property Management Systems (PMS).

Multilingual:

Proficiency in multiple languages (e.g., English plus a secondary international language) is highly desirable, given the hotel's international guest base.

Flawless attention to detail is essential for complex itinerary planning, ticket issuance, and documentation.

Problem-Solving & Adaptability:

Ability to think quickly, remain calm under pressure, and find effective solutions for unexpected travel challenges.

Strong Communication & Interpersonal Skills:

Excellent verbal and written communication for clear interactions with guests, vendors, and internal teams.

Geographical and Industry Knowledge:

In-depth knowledge of international travel regulations, visa requirements, global geography, and current luxury travel trends.

Negotiation Skills:

Proven ability to negotiate and secure the best deals and premium service levels from external vendors.
