The Travel Desk Executive is responsible for managing all travel-related activities for employees and guests, ensuring seamless coordination, cost-effective arrangements, and compliance with company policies. This role demands excellent organizational skills, attention to detail, and a customer-first mindset.
Key Responsibilities
Coordinate domestic and international travel bookings (flights, hotels, transport)
Handle visa applications and travel documentation
Negotiate rates with travel vendors and maintain vendor relationships
Ensure adherence to company travel policies and budgets
Provide real-time support for travel changes, cancellations, or emergencies
Maintain accurate MIS for travel records and expense reports
Liaise with HR and Finance for approvals and reimbursements
Update travelers with itinerary details and travel advisories
Monitor travel trends and suggest improvements to travel processes
Required Skills & Qualifications
Bachelor's degree in Hospitality, Travel, Business Administration, or related field
2+ years of experience in travel coordination or customer service
Proficiency in travel booking platforms (e.g., Amadeus, Galileo, Sabre)
Strong communication and negotiation skills
Ability to multitask and work under pressure
Familiarity with international travel regulations and visa processes
High level of confidentiality and professionalism
Preferred Qualifications
Certification in Travel Management or IATA
Experience handling executive-level travel (CEO, COO, etc.)
