The Transport Manager is responsible for overseeing and managing all institutional transport operations, ensuring the safe, efficient, and cost-effective movement of students, staffs. The role involves planning transport schedules, maintaining vehicles, coordinating with drivers and departments, and ensuring full compliance with statutory and safety regulations.
Key Responsibilities:
Transport Operations Management
Plan and monitor daily transport schedules for students, staff, and institutional requirements.
Ensure punctual and safe pick-up and drop-off services.
Allocate vehicles based on departmental and academic requirements.
Manage transport arrangements for institutional events, industrial visits, and hospital/field postings.
Vehicle Maintenance & Compliance
Ensure all institutional vehicles are properly maintained, serviced, and in good working condition.
Maintain records of vehicle registration, insurance, pollution control, and fitness certificates.
Schedule preventive maintenance and coordinate repairs.
Ensure compliance with RTO and other government transport regulations.
Driver Supervision & Administration
Supervise and monitor all drivers and transport staff.
Prepare driver duty rosters and ensure discipline, punctuality, and proper behavior.
Conduct periodic training for drivers on road safety, first aid, and institution policies.
Maintain attendance, leave, and performance records for all transport personnel.
Safety & Security
Implement safety protocols for all vehicles and passengers.
Conduct regular inspections to ensure safety equipment (fire extinguishers, first-aid kits, etc.) are in place.
Monitor GPS tracking, fuel usage, and route adherence.
Handle transport-related emergencies and accidents promptly and effectively.
Budget & Documentation
Prepare and manage the transport department budget (fuel, maintenance, repairs, insurance, etc.).
Maintain detailed records of vehicle logs, fuel consumption, and transport expenses.
Submit monthly reports on transport operations, costs, and performance.
Coordination & Communication
Liaise with HODs, administrative staff, and external service providers for smooth operations.
Coordinate with vendors, garages, and RTO offices when required.
Communicate transport-related updates, delays, or issues promptly to management and concerned staff.
