What this job involves:

1) Coordinate with the lease agency for the vehicle transportation pan India location.

2) Coordinate with the agency for RTO, NOC & other relevant documents. Coordinate with agency to check for the repair & maintenance of vehicles for Pan India location.

3) Coordinate with leasing agency/ dealer for handing over the vehicle Maintains a complete inventory system through recording of all expenditures and income of each vehicle, maintenance equipment.

4) Responsible for the prompt processing of the insurance claims in case of any incident. Check with the agency for documents that indicate the payment of the road tax & maintain the records As per the company policy supervising documentation of fleet reports, ledgers.

5) Timely response to mail and communication to BP team. Coordinate with the vendor for the timely billing.

6) Ensure checks of valid licences, valid PUC certificate, RC Book, insurance etc.

7) Ensure emergency kit/Torch/ Stephany/ reflective jacket/ reflective barricade area readily available in vehicle.

8) Be the first point of contact for user escalations, if any!

Other responsibilities you will take care of include contributing to the monthly management report for the client and participating in emergency evacuation procedures. On top of these, you'll be expected to develop policies and procedures needed for all functions.

Duties & responsibilities

  • Transport Uptime Management: Maintaining 100% on time arrival & on time departure of cabs
  • Safety: Ensuring 100% Employee safety
  • Transport Utilization to be maximum
  • Compliance Management : Adherence to 100% vehicle compliance (Vehicle documentation, Drivers documentation, Cab maintenance documentation & transport vehicle compliance)
  • Driver Briefing Session: Weekly Driver Briefing Session needs to be conducted
  • Reports & MIS management: Data needs to be capture for report generation such as but not limiting to Roster management, no show, OTA & OTD report any additional Adhoc reports
  • Back up: Backup for Shift executive if someone is on leave
  • This includes managing budgets, organising schedules & routes, ensuring that vehicles are safe and meet legal requirements, and making sure that drivers are aware of their duties.
  • Ensuring that the roster is prepared on time
  • Managing and supervising the Transport executives' activities
  • Preparing monthly/weekly/daily reports
  • Be accessible for escalation of all transport related issues
  • Carrying out routine vehicle inspections
  • Providing advice to helpdesk operators on escalated issues
  • Incident reporting and management

  • Ensure all female staff is given security escort post 20:00 hours till 06:00 hours

A highly skilled professional

You should be a graduate in any discipline and have five plus years' experience as transport co-ordinator. Proven experience with continuous improvement initiatives and client reporting is also vital for this role. If you're familiar with occupational safety requirements matched with strong computer literacy and the ability to manage activities using different systems, then you might be the best fit for this job.
