Job Purpose
The Container Division Executive is responsible for managing and controlling daily container operations, documentation, ERP & Tally entries, billing, reporting, cash handling, courier coordination, and driver salary processing. The role ensures smooth logistics operations, accurate financial records, compliance, and timely execution of all operational activities.
Prepare log slips as per instructions from reporting authority.
Verify vehicle number, driver name, route, trip details, and container data.
Generate next trips and finalize LRs.
Share documents with operations and accounts teams.
Maintain digital and physical records.
2. Happy Card / HPCL / ERP & Tally Entry
Download daily vehicle-wise Happy Card and HPCL fuel statements.
Enter transactions into ERP and Tally systems.
Update Excel trackers and online portals.
Verify and clear pending entries.
Ensure fuel and expense accuracy for audits and billing.
3. Billing & Invoice Management
Prepare invoices in ERP/Excel as per approved trips and rate contracts.
Maintain physical and digital bill records.
Share billing summaries with accounts and customers.
Track pending bills and payments.
4. Performance & Operations Reporting
Prepare daily, weekly, and monthly vehicle and trip performance reports.
Monitor delivery timelines, fuel usage, detention, and delays.
Share reports with operations management for corrective actions.
5. Cash Book Handling
Maintain daily cash receipts and payments in Tally and Excel.
Attach supporting vouchers and approvals.
Reconcile daily opening and closing cash balances.
Submit cash book to Accounts and Manager - Container Division for approval.
6. Voucher Entry in Tally (All Expenses)
Record all logistics-related expenses including:
Driver bhatta and allowances
Fuel expenses
Vehicle repairs and servicing
Spare parts purchases
Parking, tolls, permits, PUC, and speed governor charges
Ensure proper accounting heads and audit-ready records.
7. Courier & Dispatch Management
Dispatch and receive PODs, invoices, contracts, and official documents.
Maintain courier registers and tracking details.
Ensure timely deliveries to customers, branches, and Head Office.
8. Scanning & Document Management
Scan and file PODs, log slips, bills, vouchers, LRs, permits, and driver documents.
Maintain structured digital folders and physical files.
Ensure document security and easy retrieval.
9. Driver Salary & Advance Processing
Collect trip sheets and attendance records.
Calculate salaries, incentives, advances, and deductions.
Prepare salary sheets and submit to HO/accounts.
Maintain confidentiality of salary data.
10. ERP to Tally Export & System Coordination
Export ERP data to Tally as per accounting schedules.
Verify accuracy and resolve mismatches with accounts team.
11. Monthly Driver Reports to HO
Prepare monthly driver attendance, performance, and salary summaries.
Submit reports within defined timelines.
