Coordinate and arrange travel of employees on official purposes upon receiving travel requisition form/requests.
Provide travel arrangements to employees as well as for the clients / guests which include flight bookings, arranging transport pick-up and dropping and booking of hotel rooms.
Make alternative arrangements when changes arise before or during the trip.
Be aware of the Visa norms and international travel conditions/ requirements
Keep abreast with general information about other countries, their currency, exchange rates, etc
Make sure that all necessary ID proofs are submitted.
Maintain cordial relations with vendors, travel agents/ reservations desk in hotel, etc
Handle and oversee all travel arrangements (including boarding, lodging etc) and operations.
Cost Control & Economy Measures
Obtain corporate rates & discounts from all vendors and service providers
Use effectively the bonus miles and other rewards accrued/due while making bookings
Keep abreast with seasonal trends in tours & travels, carry out constant research to find about offers and schemes, and thus achieve best economy in travel/hotel rates
Negotiate contracts and rates with service providers to meet eligibility criteria as laid down by the organization and also for best fares
Accounting & Expenditure Data Maintenance
Account for all TA/DA expenditures and maintain up-to-date data
All bills pertaining to travel, hotel booking and taxi bills of employees be scrutinised and verified for correctness including their eligibilities, Ensure reimbursements within reasonable time
Prepare Travel & Expense reports and present for management scrutiny and analysis
Check bills and invoices and ensure it is posted under the right cost center/ business unit.
Provide financial statements and data/ GST Details, etc to Accounts Dept as required
Maintain and provide monthly/ yearly budgets and prepare financial statements.
Company Vehicle Maintenance
Assign duties to company drivers and maintain their duty roster; Ensure vehicles ply only for authorized purposes and as per authorized schedules.
Maintain company vehicles as per the best maintenance practices, and as per maker's manuals; Carry out routines and repairs in time
Maintain company vehicle documents up-to-date and ensure all statutory approvals and documentations in time and be in possession of valid documents
Ensure drivers' attendance, discipline, grooming by regular briefing, monitoring, and inspections.
Ensure proper maintenance log books in respect of all vehicles, monitor mileage, fuel consumption, etc
Track vehicle movements through GPS tracker and ensure prudent and economic utilization of vehicles.
