We are seeking a dedicated and detail-oriented
Tendering and Procurement Executive
to manage tender submissions, vendor coordination, and procurement activities. The candidate will be responsible for identifying business opportunities, preparing bids, ensuring compliance with tender requirements, and handling material and service procurement efficiently.
Key Roles and Responsibilities:Tendering:
Identify and track new tenders through online portals, newspapers, and client notifications.
Review tender documents, drawings, and specifications to prepare technical and commercial bids.
Coordinate with engineering, finance, and management teams to collect necessary inputs for tender submission.
Prepare and submit Expression of Interest (EOI), Prequalification (PQ), and Request for Proposal (RFP) documents.
Ensure timely submission of tenders in line with client requirements.
Maintain a record of submitted tenders and update status reports.
Prepare comparison sheets and maintain tender tracking registers.
Procurement:
Source, evaluate, and negotiate with suppliers and subcontractors for materials, equipment, and services.
Obtain quotations, prepare comparative statements, and issue purchase orders.
Maintain approved vendor databases and ensure vendor compliance with quality and delivery timelines.
Coordinate with site and project teams for procurement planning and material requirements.
Monitor inventory and ensure cost-effective and timely procurement.
Handle EMD, tender fees, BG, and other documentation related to procurement and tendering.
Qualifications and Skills:
Bachelor's Degree in Engineering / Commerce / Business Administration or equivalent.
2-4 years of experience in tendering, procurement, or estimation (construction / EPC industry preferred).
Strong knowledge of government and PSU tender portals (e.g., GeM, eProcurement).
Proficient in MS Office (Excel, Word, PowerPoint) and email communication.
Excellent negotiation, communication, and organizational skills.
Attention to detail and ability to work under tight deadlines.
Documentation and Coordination:
Maintain proper documentation for tenders, quotations, and purchase records.
Communicate effectively with clients, consultants, and internal departments.
Assist management in vendor evaluation and cost analysis.
Support audit and compliance activities related to tenders and procurement.
