Job Description

he Tender Executive is responsible for identifying relevant tenders, preparing and submitting technical/financial bids, coordinating with internal teams, maintaining documentation, and ensuring compliance with all tender requirements. The role involves active client communication, follow-ups, market research, and supporting the company in winning government and private sector bids through accurate and timely submissions.

? JOB DESCRIPTION (JD) - Tender Executive1. Tender Identification & Evaluation



Monitor GeM, CPPP, e-procurement, and state tender portals daily. Identify suitable tenders based on company products/services. Analyze eligibility criteria, scope of work, and financial requirements. Prepare tender summary sheets for management approval.

2. Tender Documentation & Preparation



Collect and compile documents: GST, ISO, OEM certificates, catalogs, declarations, annexures, financial statements, etc. Prepare technical bids, compliance sheets, and BOQs. Ensure all documents meet the tender format and specifications. Coordinate with Sales, Technical, Finance, and Legal teams for accurate data.

3. Online & Offline Submission



Upload documents on GeM, CPP, eProc portals. Enter BOQ prices, product specs, and fill all mandatory forms. Manage EMD, bid security declarations, MSME exemption, and payment processes. Prepare offline bid packets (signing/stamping/sealing) as needed. Ensure 100% timely submission before deadline.

4. Client Approach & Communication



Approach clients (government & private) for tender opportunities and discussions. Handle pre-bid queries, call clarifications, and attend pre-bid meetings. Maintain professional communication with procurement officers and client representatives. Send company profile, quotations, and required documents to clients proactively.

5. Post-Submission Activities



Track the status of submitted bids. Follow up for technical/financial evaluation results. Support in reverse auctions, negotiations, and order finalization. Inform management about tender outcomes and next steps.

6. Documentation & Reporting



Maintain tender tracker, bid register, client approach register, and submission log. Prepare weekly/monthly tender performance reports. Update renewal dates for GST, ISO, EMD exemptions, product catalogs, and OEM documents. Maintain accurate digital and physical documentation for audit purposes.

7. Compliance & Policy Awareness



Understand tender policies: Make in India (MII), MSME benefits, EMD exemption, performance security, LD penalties, delivery terms, payment terms, warranty requirements. Ensure 100% compliance with tender norms to avoid rejection.

? Skills Required



Strong knowledge of GeM, CPPP, and e-procurement portals Good understanding of government tender processes Excellent communication & documentation skills Attention to detail and accuracy Ability to coordinate across departments Good Excel, PDF, and document editing skills Basic commercial knowledge (pricing, taxes, terms) Time management and ability to work under deadlines

? Experience (as applicable)



1-5 years in tendering, bidding, documentation, procurement, or business development. Experience with Fresa, Tally, or ERP systems (if logistics-related).
Job Types: Full-time, Part-time

Pay: ₹15,000.00 per month

Expected hours: 30 - 40 per week
