The GeM Tender Executive will be responsible for managing the complete tendering process on the Government e-Marketplace (GeM) portal, including tender identification, bid preparation, documentation, product listing, pricing, order execution, and compliance. The role requires strong understanding of GeM procurement policies and the ability to coordinate with internal teams to ensure timely submission and successful order fulfillment.
Key Responsibilities1. GeM Portal Management
Manage and update company profile, catalogues, product listings, and service offerings on the GeM portal.
Regularly monitor GeM for new bids, RA (Reverse Auction), and tender opportunities relevant to company products/services.
Ensure compliance with GeM rules, eligibility criteria, and documentation requirements.
2. Tender Identification & Bidding
Search, screen, and shortlist relevant government tenders and bids.
Prepare and submit technical and financial bids within deadlines.
Coordinate Reverse Auctions and online bid submissions.
3. Documentation & Compliance
Prepare all tender documentation including technical specifications, financial quotes, eligibility certificates, declarations, and supporting documents.
Maintain updated records for EMD exemptions, certificates (MSME, GST, PAN, etc.), OEM authorizations, and other regulatory documents.
Ensure adherence to government procurement guidelines.
4. Coordination & Communication
Coordinate with sales, finance, logistics, and technical teams for bid inputs.
Engage with government buyers for clarification, negotiation, or query resolution.
Support timely order processing, dispatch, invoicing, and payment follow-ups through the GeM portal.
5. Reporting & Tracking
Maintain logs of all bids, wins/losses, and ongoing projects.
Track tender status, evaluation updates, and contract progress.
Prepare weekly/monthly reports on GeM activities.
Required Skills & Qualifications
Bachelor's degree (Commerce, Business Administration, Engineering, or related field preferred).
1-3 years of experience in GeM portal operations, government tendering, or e-procurement (freshers with GeM knowledge may also apply).
Strong knowledge of GeM portal, government procurement norms, and tender documentation.
Excellent communication, coordination, and negotiation skills.
Proficiency in MS Office (Excel, Word, PowerPoint).
Attention to detail and ability to work under deadlines.
Preferred Qualifications
Experience in working with government departments, PSUs, or large institutional buyers.
Knowledge of product pricing, taxation, and basic commercial terms (INCOTERMS, payment terms, etc.).
Experience in handling Reverse Auctions and contract management.
