Job Description

Job Summary

The Tender Executive is responsible for identifying, preparing, submitting, and managing tenders, bids, and proposals in compliance with company policies and client requirements. The role involves coordination with internal departments to ensure timely and accurate tender submissions.

Key Responsibilities

Tender Identification & Analysis



Search, track, and identify new tenders from government portals, e-procurement sites, and private sources. Analyze tender documents, eligibility criteria, scope of work, and timelines. Prepare tender summary and feasibility reports for management approval.

Tender Documentation & Submission



Prepare complete tender documents including technical and commercial bids. Coordinate with internal teams for BOQ, pricing, technical details, and compliance documents. Ensure all documents are prepared as per tender requirements. Upload and submit bids through online portals or physical submission as required.

Compliance & Coordination



Ensure strict compliance with tender terms and conditions. Coordinate with finance for EMD, BG, tender fees, and cost sheets. Liaise with legal, operations, and vendors for required certifications and declarations.

Post-Submission Activities



Track tender status, corrigendums, clarifications, and results. Respond to client queries and clarification requests. Coordinate during bid opening, negotiations, and final award stages.

Record Keeping & Reporting



Maintain a database of submitted, won, and lost tenders. Prepare MIS reports on tender status and success ratio. Maintain records of EMD, BG validity, and tender deadlines.
Required Skills & Qualifications

Bachelor's degree in Business, Engineering, Commerce, or relevant field 1-5 years of experience in tendering / bidding / proposal management Strong knowledge of government e-procurement portals (GeM, CPPP, state portals, etc.) Good understanding of technical and commercial bid preparation Excellent attention to detail and documentation skills Proficiency in MS Office (Word, Excel, PowerPoint)
