2. Tender Preparation:
Collaborate with internal stakeholders to gather required information for tender submissions, including technical specifications, pricing, and supporting documentation.
Review tender requirements thoroughly and ensure compliance with all submission criteria.
Prepare compelling and accurate tender documents, including proposals, bids, and quotations.
Coordinate with legal and finance teams to ensure that all contractual and financial aspects of the tender are addressed appropriately.
Develop and maintain templates, standard documents, and libraries for efficient tender preparation.
3. Tender Submission:
Manage the tender submission process, including organizing all necessary documents, forms, and attachments.
Ensure timely submission of tenders, adhering to deadlines and submission requirements.
Coordinate with logistics teams for physical submission or electronic tender uploads, as required.
Respond to any clarification requests or queries from tendering authorities promptly and professionally.
4. Documentation and Reporting:
Maintain accurate records of all tender activities, including bid documentation, correspondence, and outcomes.
Generate reports on tender performance, including success rates, win-loss analysis, and feedback.
Provide regular updates to management on the status of ongoing tenders and upcoming opportunities.
Key Skills and Qualifications:
Bachelor's degree in Business Administration, Marketing, Engineering, or a related field.
Minimum of one year of experience in tendering, procurement, or a related role.
Strong understanding of tendering processes, regulations, and best practices.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.
Detail-oriented with strong analytical and problem-solving abilities.
Ability to work independently and collaboratively in a fast-paced environment.
Effective time management and organizational skills, with the ability to prioritize tasks and meet deadlines.
Knowledge of industry-specific terminology and standards may be advantageous.
