The Tender Executive is responsible for handling the complete tendering process, including e-tendering, e-procurement, and GeM (Government e-Marketplace) portal management. The role involves identifying relevant tender opportunities, preparing and submitting bids, and ensuring compliance with tender requirements. The candidate should have 3-4 years of experience in managing tender documentation, pricing strategies, and coordination with stakeholders.
Key Responsibilities:
Tender Identification & Management:
Identify suitable tenders from GeM, e-Procurement, and other government/private portals.
Review tender documents and assess eligibility criteria, scope, and technical requirements.
Bid Preparation & Submission:
Prepare and compile all necessary documents for tender submission, including technical and financial proposals.
Ensure timely submission of tenders on GeM and e-tendering portals.
Coordinate with internal teams (finance, operations, and legal) to gather required data.
E-Tendering & GeM Portal Handling:
Manage vendor registration and documentation on GeM and e-procurement portals.
Upload bids, track tender status, and respond to queries from authorities.
Keep updated with changes in tendering processes on government portals.
Cost Estimation & Pricing:
Work closely with finance and procurement teams to prepare competitive pricing.
Ensure profitability and compliance while quoting prices.
Compliance & Documentation:
Maintain all records related to tenders, including approvals, bid submissions, and contract agreements.
Ensure adherence to government procurement regulations and company policies.
Follow-up & Reporting:
Track submitted tenders and follow up on evaluation results.
Prepare reports on bid performance and provide insights to improve success rates.
Required Skills and Qualifications:
Education:
Bachelor's degree in Business Administration, Commerce, Supply Chain Management, or a related field.
Experience:
3-4 years of experience in tender management, e-procurement, and GeM portal handling.
Skills:
Strong knowledge of GeM, e-Tendering, and e-Procurement portals.
Excellent communication and coordination skills.
Proficiency in MS Office (Excel, Word, PowerPoint).
Attention to detail and ability to meet tight deadlines.
Analytical and problem-solving skills.
Preferred Qualifications:
Experience in government procurement processes.
Knowledge of contract management and bidding strategies.
Certification in procurement or tender management (if applicable).
Work Environment:
Typically works in an office setting with occasional site visits for inspections or project meetings.
