Job Summary: The Tender Assistant supports the tendering process by assisting in the preparation, coordination, and submission of tender documents. This role involves collaborating with various departments to gather necessary information, ensuring compliance with tender requirements, and maintaining accurate records of all tender submissions.
Key Responsibilities:
Tender Preparation:
Assist in the preparation of tender documents, including proposals, pricing schedules, and technical submissions.
Gather and compile information from various departments (e.g., engineering, finance, legal) to ensure comprehensive and accurate submissions.
Document Management:
Maintain an organized database of tender documents, submissions, and correspondence.
Ensure all documents are compliant with the tender requirements and company standards.
Research and Analysis:
Conduct market research to identify potential tender opportunities and assess competitor bids.
Analyze tender specifications and requirements to ensure all aspects are addressed in submissions.
Coordination and Communication:
Coordinate with internal teams to gather necessary input and feedback for tender submissions.
Communicate with external stakeholders, including clients and suppliers, as needed.
Deadline Management:
Track tender submission deadlines and ensure timely completion of all required documents.
Assist in the preparation of presentations and meetings related to tender submissions.
Post-Tender Activities:
Assist in the review of tender outcomes and feedback from clients.
Help maintain records of successful and unsuccessful tenders for future reference.
Qualifications
:
Bachelor's degree in Business Administration, Engineering, or a related field (preferred).
Previous experience in a tendering or administrative role is an advantage.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
