The Tender Executive (Civil) will be responsible for coordinating and preparing tender submissions, quotations, and bid documents for civil construction projects. The role involves analyzing tender requirements, preparing cost estimates, compiling technical documentation, and ensuring timely submission in line with client specifications and company standards.
Key Responsibilities:
Tender Preparation & Submission
Study and analyze tender documents (drawings, specifications, BOQs, and conditions of contract).
Prepare and compile complete tender documentation, including technical and commercial proposals.
Ensure timely submission of tenders as per deadlines.
Estimation & Costing
Coordinate with estimation teams for preparing detailed cost estimates for civil works.
Obtain quotations from vendors/subcontractors and evaluate their offers.
Assist in rate analysis, cost comparisons, and pricing of tender items.
Documentation & Compliance
Maintain and update records of submitted tenders and ongoing bids.
Ensure all supporting documents (technical, financial, statutory) are accurate and complete.
Manage prequalification documents and registration with government/private clients.
Coordination & Communication
Liaise with internal departments (Planning, Design, Procurement, Contracts, Finance) for tender inputs.
Communicate with clients, consultants, and subcontractors for clarifications or tender-related queries.
Attend pre-bid and post-bid meetings as required.
Post-Tender Activities
Assist in preparing clarifications, revisions, or follow-ups after submission.
Support negotiation and award processes.
Maintain a database of tender outcomes and lessons learned for future reference.
Required Qualifications & Skills:
Education:
Diploma / B.E. / B.Tech in Civil Engineering or equivalent.
Experience:
Minimum 5 years in tendering, estimation, or contract administration in the civil construction sector.
Technical Skills:
Strong knowledge of civil engineering drawings, BOQs, and cost estimation.
Familiarity with government e-tendering portals and documentation procedures.
Proficiency in MS Office (Excel, Word, PowerPoint); knowledge of AutoCAD and estimation software preferred.
Soft Skills:
Excellent communication and coordination skills.
Strong attention to detail and accuracy.
Ability to manage multiple tenders and meet tight deadlines.
