Tender Executive

Roles and Responsibilities



Tender Identification & Monitoring

Regularly monitor government, PSU, and private portals for relevant tenders and RFPs. Identify suitable tenders aligned with the company's services, capabilities, and business goals. Maintain a calendar of upcoming tender opportunities, submission deadlines, and pre-bid meetings.

Tender Documentation & Preparation

Collect, study, and analyze tender documents, including eligibility criteria, scope of work, and terms & conditions. Coordinate with internal departments (technical, legal, finance, HR, etc.) to prepare accurate and complete tender responses. Draft technical and financial proposals as per the tender requirements. Ensure proper documentation of EMD, bank guarantees, certificates, and supporting documents.

Compliance & Submission

Ensure tender submissions comply with all instructions, formats, and deadlines. Upload bids on e-procurement portals or submit hard copies, as required. Maintain strict confidentiality of pricing, strategies, and sensitive documents.

Coordination & Communication

Liaise with clients, consultants, and government officials for clarifications, corrigenda, and pre-bid queries. Work closely with vendors, partners, and consortium members in case of joint bidding. Support senior management in negotiations, presentations, and client interactions.

Tracking & Reporting

Track the status of submitted tenders and maintain updated records of won, lost, and pending bids. Prepare MIS reports for management on tender activities, outcomes, and future opportunities. Analyze reasons for bid rejections or losses and suggest improvements in strategy.

Financial & Legal Responsibilities

Coordinate with the finance department for preparing EMDs, bank guarantees, and other payments. Ensure timely renewal of licenses, registrations, and certifications required for tender eligibility. Verify legal and contractual compliance of submitted bids.

Continuous Improvement

Stay updated with government procurement policies, GFR rules, and e-tendering systems. Suggest process improvements for faster, accurate, and more competitive tender submissions. Support in building a centralized database of documents, templates, and client references.

Key Skills Required



Strong knowledge of e-tendering platforms (GeM, CPPP, state e-procurement portals, etc.) Excellent documentation, communication, and negotiation skills Attention to detail and strong organizational abilities Proficiency in MS Office (Word, Excel, PowerPoint) Ability to work under strict deadlines
