The Tender Manager is responsible for managing the entire tendering process -- from identifying tender opportunities to preparing, submitting, and following up on bids. This role ensures compliance with all client requirements and internal policies, coordinates cross-functional teams, and maximizes the organization's chances of winning profitable contracts.
Key Responsibilities:
Tender Identification & Analysis:
Research and identify potential tender opportunities through various channels (portals, publications, client networks, etc.).
Review tender documents and assess eligibility, technical, and financial requirements.
Tender Preparation & Submission:
Lead the preparation of high-quality, compliant, and competitive tender submissions.
Coordinate with technical, legal, finance, and project teams to gather required documentation and input.
Prepare cost estimates, pricing strategies, and risk analyses for each bid.
Ensure timely submission of tenders and adherence to all bid deadlines.
Coordination & Communication:
Liaise with clients, consultants, and internal stakeholders throughout the tendering process.
Conduct pre-bid meetings and clarifications with clients as needed.
Post-Tender Activities:
Manage post-submission clarifications, presentations, and negotiations.
Conduct tender debriefs and document lessons learned to improve future bids.
Compliance & Documentation:
Maintain accurate records of all tender documents, correspondence, and approvals.
Ensure all tenders comply with company policies, legal requirements, and industry standards.
Reporting & Analysis:
Prepare tender performance reports and maintain a tender tracking database.
Analyze success rates and identify improvement areas in the bidding process.
Qualifications & Skills:
Bachelor's degree in Business Administration, Engineering, Procurement, or a related field (Master's preferred).
Minimum [X] years of experience in tender management, bidding, or business development (industry-specific experience preferred).
Strong knowledge of public and private sector procurement processes.
Excellent communication, negotiation, and presentation skills.
Advanced proficiency in MS Office, ERP systems, and tendering portals.
Strong analytical and organizational abilities with attention to detail.
Ability to work under pressure and meet strict deadlines.
