The Tender Executive will be responsible for managing the complete tendering process for industrial electrical and mechanical products. The role involves identifying relevant tenders, preparing technical and commercial documentation, coordinating with internal departments, ensuring timely bid submission, and maintaining compliance with all regulatory and organizational requirements.
Monitor government, PSU, private-sector and online e-procurement portals for relevant tenders.
Analyze tender documents, eligibility criteria, scope of work, terms and conditions, and technical requirements.
Communicate feasibility, risks, and requirements to management for approval.
2. Documentation & Bid Preparation
Prepare and compile technical bids, commercial bids, pre-qualification documents, and supporting certificates.
Coordinate with sales, purchase, suppliers, and accounts departments to gather pricing, product details, and supporting documents.
Ensure all documents meet tender specifications and are submitted in the prescribed formats.
3. Tender Submission
Upload bids on e-procurement portals such as GeM, NIC, CPPP, and state tender portals.
Manage online/offline submissions, including digital signatures, EMD payments, and file uploads.
Ensure error-free, timely submission of bids before deadlines.
4. Coordination & Communication
Liaise with suppliers/vendors to obtain quotes, technical datasheets, and product compliance documents.
Communicate with tender authorities regarding queries, corrigenda, amendments, and clarifications.
Maintain smooth coordination with internal teams for approvals and documentation.
5. Post-Submission Activities
Track tender status, technical evaluation results, financial bid openings, and award decisions.
Prepare follow-up reports and communicate updates to management.
Assist in contract agreements, order finalization, and compliance as required.
6. Data Management & Reporting
Maintain a comprehensive record of all tenders: submitted, won, lost, and in-process.
Prepare MIS reports including success ratio, bid status, and upcoming opportunities.
Manage vendor registrations, renewals, and documentation for OEMs, PSUs, and government bodies.
Qualifications & Skills
Bachelor's degree (B.Com, BBA, BE, or related field preferred).
1-4 years of experience in tendering, bidding, or e-procurement processes.
Knowledge of electrical/mechanical industrial products (preferred).
Proficiency in e-tender portals, GeM, MS Office, and email communication.
Strong attention to detail, documentation skills, and deadline management.
Good communication skills and ability to coordinate across multiple teams.
Familiarity with taxation, price structures, and commercial terms (preferred).
