To manage and execute the entire tendering process for survey instruments, including identifying tender opportunities, preparing documentation, coordinating with internal departments, and ensuring timely submission of tenders as per government/private procurement requirements.
Key Responsibilities:
Tender Identification & Analysis:
Regularly monitor e-portals (GeM, CPPP, E-Tender portals, etc.) for relevant tender opportunities in the survey instruments industry.
Analyze eligibility, scope, specifications, and terms & conditions of tenders.
Tender Documentation & Submission:
Prepare and compile technical and commercial bid documents as per tender requirements.
Coordinate with technical teams for datasheets, product compliance, certifications, and brochures.
Ensure timely submission of physical and online tenders without errors.
Vendor Registration & Compliance:
Maintain vendor registrations on government and institutional portals.
Ensure all documents like ISO certificates, GST, PAN, company profile, turnover certificates, etc., are up-to-date and compliant.
Coordination & Communication:
Liaise with suppliers, manufacturers, and internal sales/technical teams to gather necessary inputs.
Communicate clarifications, corrigenda, and changes from tender authorities to concerned stakeholders.
Tender Follow-up & Reporting:
Track tender status, including participation, result declaration, and contract award.
Maintain proper filing of tender submissions and records for audits.
Prepare regular MIS reports related to tenders submitted, won, or lost.
Post Tender Activities:
Assist in post-tender documentation such as agreements, LoAs, or work orders.
Coordinate for EMD/BG submission and refunds.
Key Skills & Competencies:
Good understanding of government procurement process and GeM/e-Procurement portals
Attention to detail and documentation accuracy
Strong coordination and communication skills
Proficiency in MS Office (Word, Excel, Outlook)
Ability to work under pressure and meet deadlines
Knowledge of survey instruments like Total Stations, DGPS, Theodolites, etc. (preferred)
Qualifications & Experience:
Graduate in any discipline (Science/Engineering preferred)
2-5 years of experience in tendering, preferably in the survey instruments or related technical equipment industry
