Job Summary: We are looking for a highly organized and detail-oriented Tender Executive cum Sales Coordinator to support our medical device sales operations. This dual-role professional will manage government and private tender submissions and coordinate with the sales team to ensure smooth customer service, order processing, and documentation. The ideal candidate should have experience in handling healthcare or medical device tenders and sales coordination.
Key Responsibilities:
Tender Management:
Search, Bid, and Track tenders on government (e.g., GEM, CPPP, E-Procurement) and private procurement portals (e.g., Indiamart ...Etc.)
Analyze tender eligibility criteria, technical specifications, and documentation requirements.
Coordinate with product management, regulatory, legal, and finance teams to prepare tender documents (including product catalogues, certifications, pricing, and compliance).
Ensure timely submission of EMD, performance security, and other tender-related instruments.
Maintain a calendar of tender deadlines and ensure all documents are submitted before the due date.
Handle post-submission activities such as tender clarifications, bid openings, and follow-ups.
Sales Coordination:
Support the sales team with preparing quotations, sales proposals, and price lists.
Coordinate order processing, invoicing, and dispatch schedules with internal teams.
Track sales orders, delivery timelines, and after-sales support, ensuring customer satisfaction.
Maintain and update customer and distributor records in CRM and sales systems.
Prepare and submit weekly/monthly reports on sales activities, tenders submitted, and outcomes.
Handle customer queries related to product availability, quotations, and status updates.
Requirements:
Bachelor's degree in Life Sciences, Pharmacy, Business Administration, or related field.
2-5 years of experience in a similar role within a medical device or healthcare company.
Knowledge of e-tendering platforms
(GEM, CPPP, State Government Portals, Sate Medical Corporations ... etc.) and tendering procedures.
Familiarity with medical product regulatory documents (CE/FDA certificates, ISO, etc.).
Proficient in MS Office (especially Excel & Word), email communication, and basic ERP or CRM tools.
Excellent organizational skills with the ability to multitask and meet strict deadlines.
Strong interpersonal and communication skills.
Experience dealing with government hospitals, health departments, and private hospital groups.
Working knowledge of tender negotiation, BOQ analysis, and technical bid preparation.
Understanding of inventory, logistics, and supply chain processes in the medical device sector.
