Key Responsibilities:
1. Tender Identification & Tracking
Monitor government portals (GeM, e-Procurement, e-Tender, CPPP) and private RFP/RFQ channels for upcoming event-related tenders.
Maintain a tender calendar and track submission deadlines.
Evaluate tender requirements and eligibility criteria.
2. Documentation & Proposal Preparation
Collect all necessary documents such as company profiles, registrations, certifications, financial documents, work orders, and client testimonials.
Prepare technical and financial bid submissions in compliance with tender specifications.
Assist in drafting event concepts, designs, presentations, BOQs, and cost sheets.
Ensure accuracy, completeness, and proper formatting of all tender documents.
3. Compliance & Quality Control
Ensure all tender submissions follow statutory requirements and company policies.
Verify documents like GST, MSME, PAN, PF/ESI, balance sheets, and other certifications.
Maintain confidentiality and secure handling of tender documents.
4. Submission & Follow-Up
Upload online documents on tender portals or prepare physical submission files.
Conduct final checking to avoid non-compliance or omissions.
5. Reporting & Database Management
Maintain a database of past submissions, wins, losses, and tender feedback.
Generate weekly/monthly reports for management review.
Update company credentials and tender documentation repository.
Required Skills & Competencies
Strong knowledge of government tender processes.
Excellent written and verbal communication skills.
High attention to detail and accuracy.
Proficiency in MS Office (Word, Excel, PowerPoint) and e-tender portals.
Good coordination, time management, and organizational abilities.
Ability to work under pressure and meet strict deadlines.
