We are seeking a proactive and detail-oriented Telecalling Executive to join our dynamic team. The ideal candidate will be responsible for managing outbound and inbound calls, supporting administrative functions, and assisting with project coordination to ensure seamless communication and operational efficiency. Duties
Make outbound calls to prospective clients, follow up on inquiries, and schedule appointments or meetings
Handle inbound calls with professionalism, providing exceptional customer service and information as needed
Assist in event planning activities, coordinating logistics and communication for company events
Support bookkeeping tasks using QuickBooks, including data entry and maintaining financial records
Manage calendar appointments using Microsoft Outlook Calendar and Google Workspace tools
Prepare and proofread documents, transcriptions, and correspondence with attention to detail
Perform office management duties such as filing, data entry, and maintaining organized records
Provide executive administrative support including calendar management, email correspondence, and document signing via DocuSign
Operate multi-line phone systems with excellent phone etiquette to ensure clear communication
Support project coordination efforts by tracking deadlines, preparing reports, and facilitating team communication
Maintain office supplies inventory and assist front desk operations as needed
Qualifications
Proven experience in office management, administrative support, or personal assistant roles
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent typing skills along with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks for bookkeeping tasks and data entry processes
Experience with event planning, project coordination, and calendar management tools such as Microsoft Outlook Calendar
Exceptional phone etiquette skills combined with experience operating multi-line phone systems
High level of computer literacy with the ability to adapt quickly to new software applications such as DocuSign and transcription tools
Attention to detail for proofreading documents and ensuring accuracy in all communications
Previous customer service experience is highly desirable
Ability to work independently with minimal supervision while maintaining a collaborative team approach
