Job Description

We are hiring a

Technical Personal Assistant

to support leadership with a combination of

executive assistance, IT/user administration, internal coordination, and management reporting

. This role requires someone who is proactive, highly organized, discreet, and comfortable handling both people follow-ups and basic technical responsibilities.

This is not a purely "assistant" role and not a purely "IT" role. You will be the execution layer between management, teams, and systems--ensuring tasks move forward, updates are captured, and reports are prepared accurately.

Key Responsibilities



A) Executive & Personal Assistance



Manage calendar, meetings, reminders, and follow-ups for the leadership team. Coordinate internal meetings: agenda, notes, action items, owners, deadlines. Manage communication drafts (emails/messages) and ensure responses/closures. Maintain trackers for priorities, pending approvals, vendor follow-ups, and payments (if assigned). Handle travel planning and logistics (when required): bookings, documents, itineraries.

B) IT / Admin Support (Basic to Intermediate)



Create and manage user accounts/access for staff (Windows/email/app logins as applicable). Maintain user onboarding/offboarding checklists: access, devices, permissions, approvals. Manage shared folders/permissions, basic printer support, and routine IT requests. Coordinate with ISP/vendor/senior IT for issues; track tickets to closure.

C) Network & System Coordination



Monitor and troubleshoot basic office network issues (Wi-Fi/LAN, router/switch basics, IP/DNS/DHCP concepts). Maintain IT asset list (PCs/laptops/printers/network devices) and basic health checks. Ensure antivirus/backup/patching checks are tracked and escalated when not compliant.

D) Team Follow-ups & Management Reporting



Collect daily/weekly status updates from team members and team leads. Track tasks, blockers, timelines, and dependencies; escalate risks early. Prepare management reports (daily/weekly/monthly) using Excel/Google Sheets: Work completed vs pending Performance/throughput summaries Blockers/escalations Attendance/shift adherence (if relevant) Maintain SOPs/process documentation and update trackers consistently.

Required Skills & Qualifications



0-2 years experience in a role involving

executive assistance / operations coordination / IT support / reporting

. Strong organizational discipline: task tracking, follow-ups, closure-focused execution. Working knowledge of: Excel or Google Sheets (filters, pivots, formulas, clean formatting) Windows basics and user/account administration concepts Office networking basics (Wi-Fi/LAN, router, IP addressing fundamentals) Excellent communication: you must be able to push for updates politely but firmly. High integrity and confidentiality (you will handle sensitive internal information).

Nice-to-Have



Exposure to Windows Server/Active Directory, permissions/groups, basic GPO awareness. Experience with Word / Excel documentation and reporting. Experience coordinating teams in service businesses
