Job Description

As Technical Operations Architect, you will be the systems backbone of the company. Your mission is to map, document, stabilise, and improve technical workflows across Marketing, Sales, Service Delivery, and Operations. Working closely with our Operations Manager, you'll build and maintain the tech stack, automations, and workflows that keep our operations running quickly, accurately, and reliably.
You'll work directly with Senior Leadership and the Operations Manager, collaborating across Sales, Marketing, and Service Delivery to build efficient systems that eliminate friction, increase throughput, and enable the company to scale smoothly. You will play an important role in improving efficiency by designing and supporting automations that streamline manual processes across all departments.

Key Responsibilities
You will support operational systems, workflows, and technical execution, ensuring the company runs smoothly, predictably, and at scale.
1. Systems Extraction and Documentation

• Reverse-engineer undocumented workflows
• Create clean, clear documentation
• Build system maps, diagrams, and SOPs as a preparation step for process automation
• Identify breakage points and hidden dependencies

2. Systems & Automation

• Design and maintain automations across Zapier, Make, and N8N
• Replace manual tasks with scalable, automated workflows
• Build error detection and alert systems
• Redesign outdated automations to improve speed and reliability
• Connect cross-functional workflows that integrate Sales, Marketing, and Client Delivery

Your work will reduce manual workload across teams by 30-50%. A major part of your role is designing and deploying AI-driven automations to modernise workflows across the company.
3. CRM & Funnel Operations

• Manage CRM setup, tagging, segmentation, and pipelines
• Fix funnel issues (tracking, errors, broken steps)
• Maintain tracking across GA4, GTM, pixels, and UTMs
• Monitor funnel performance and flag technical issues impacting conversions

You will:

• Ensure all funnels work end-to-end
• Maintain accurate conversion tracking
• Troubleshoot attribution failures
• Monitor system performance across every stage of the user journey

4. Technical Infrastructure, Troubleshooting & Support

• Solve platform issues, broken automations, and tech bugs
• Fix issues in funnels, CRM, websites, and payment processors
• Respond quickly to urgent, revenue-impacting issues
• Liaise with external vendors or support teams when needed

You will work with the Operations Manager to maintain and improve the technical health of:

• Websites and hosting
• Uptime and restoration procedures
• DNS, domain management and URL redirects
• CRM workflows (GoHighLevel)
• Attribution and tracking systems
• GTM, GA4, Facebook Pixel, server-side events
• UTM and tracking consistency across all funnels
• Payment processor integrations and billing logic
• Failed payments and automation recovery flows

5. Process Design and Operational Efficiency

• Design technical workflows that reduce errors and increase speed
• Document key processes with clear, repeatable SOPs
• Integrate tools across departments
• Improve communication flow between systems
• Standardize technical processes so teams can execute confidently
• Maintain audit-ready documentation and operational transparency

6. Automation Projects & Cross-Department Execution

• Execute automation projects across Sales, Marketing, Delivery, and Operations from planning to implementation
• Build and deploy automations and AI-driven workflows (Zapier, Make, N8N, Gumloop) to replace manual tasks
• Own execution of all automation initiatives, managing timelines, testing, deployment, and improvements
• Collaborate with department heads to identify inefficiencies and propose automation-based solutions
• Ensure all automations integrate cleanly with CRMs, funnels, tracking, payment processors, and internal systems
• Monitor and maintain workflow reliability, fixing issues quickly and improving long-term stability
• Build automations that measurably reduce manual workload in key departments (for example, reducing coaching admin tasks by up to 50%)

7. Dashboards, Reporting & Performance Tracking

• Maintain dashboards for KPIs and system health
• Flag issues early and identify opportunities to improve efficiency
• Report on operational performance and system reliability

Role Details

• Reports to: Operations Manager
• Location: Fully remote
• Hours: Full-time, with some overlap to US Eastern Time
• Availability: Flexibility for urgent, revenue-impacting issues (e.g. funnel or payment failures)

Requirements
Essential Experience

• 3+ years in technical operations, systems integration, or automation development
• Hands-on experience with automation platforms (Zapier, Make, N8N)
• Proficient with CRMs (GoHighLevel, ActiveCampaign, etc.)
• Experienced in managing automation projects end-to-end.
• Strong troubleshooting skills across web tools, funnels, and integrations
• Understanding of tracking tools (GA4, GTM, Pixels, Hyros)

Technical

• Automation tools (Zapier, Make, N8N)

• Project management tools (ClickUp, Notion)
• Landing page and funnel builders (ClickFunnels, GoHighLevel)
