We are seeking a highly organized and proactive
Virtual - Team Lead
to oversee a team of 2-3 Virtual Assistants (VAs) and provide administrative and operational support. The ideal candidate will act as the primary liaison between the client(s) and the VA team, ensuring smooth project execution, clear communication, and high-quality deliverables.
Key Responsibilities:
Team Management:
Supervise and lead a team of 2-3 Virtual Assistants, ensuring they meet deadlines and deliver exceptional work.
Assign tasks and monitor the team's workload to optimize efficiency.
Provide guidance, training, and performance feedback to the team.
Resolve any conflicts or issues within the team promptly and professionally.
Client Account Management:
Act as the main point of contact for clients, ensuring their needs and expectations are met.
Manage client relationships by maintaining regular communication and providing updates on project progress.
Anticipate client needs and proactively propose solutions or improvements.
Administrative Support:
Oversee day-to-day administrative tasks such as calendar management, email correspondence, and data entry.
Ensure that all processes and workflows are documented, efficient, and followed by the team.
Handle invoicing, budget tracking, and reporting as required.
Operational Coordination:
Track project timelines and milestones, ensuring the team adheres to deadlines.
Collaborate with clients and team members to clarify goals and expectations.
Troubleshoot operational challenges and implement strategies for improvement.
Quality Assurance:
Review team outputs for accuracy, consistency, and adherence to client requirements.
Implement quality control processes and ensure team alignment with organizational standards.
Requirements
Required Skills and Qualifications:
Experience:
+ Proven experience in administrative support or account management roles (3+ years preferred).
+ Experience managing and leading remote teams.
Technical Skills:
+ Proficient in tools such as Google Workspace, Microsoft Office, Slack, Trello, Asana, or other project management tools.
+ Familiarity with CRM platforms is a plus.
Soft Skills:
+ Excellent written and verbal communication skills.
+ Strong organizational skills and attention to detail.
+ Ability to multitask, prioritize, and manage time effectively.
