We are seeking an experienced and proactive Team Lead - Dispatch Operations to oversee and manage a team of dispatch executives for our US-based logistics (3PL) operations. The TL will be responsible for ensuring smooth daily dispatch activities, maximizing fleet utilization, maintaining compliance, and serving as the primary escalation point for operational issues while coordinating with brokers, carriers, drivers, and customers.
Key Responsibilities
Team & Operations Management:
Lead, supervise, and mentor a team of Dispatch Executives handling US logistics operations
Allocate workloads, monitor team performance, and ensure adherence to SOPs
Conduct daily shift briefings, performance reviews, and training sessions
Act as the first level of escalation for operational and driver-related issues
Dispatch & Logistics Operations
Oversee planning, scheduling, and dispatching of drivers for pickups and deliveries across the US
Ensure optimal route planning, cost-effective dispatch, and maximum truck utilization
Monitor driver routes, Hours of Service (HOS), ELD compliance, and DOT regulations
Track shipments via TMS, GPS systems, and load boards in real time
Communication & Coordination
Maintain strong communication with drivers regarding load details, delays, breakdowns, and route changes
Coordinate with US brokers, shippers, receivers, and carriers to ensure smooth operations
Ensure timely check calls, ETA updates, POD collection, and detention management
Handle escalations related to delays, re-routing, service failures, or customer complaints
Compliance & Documentation
Ensure accuracy and real-time updates in TMS and dispatch records
Monitor documentation, including load confirmations, rate cons, PODs, and accessorials
Support billing teams by validating freight charges, detention, and additional fees
Ensure compliance with internal policies and US transportation regulations
Process Improvement & Reporting
Analyze operational data to reduce dwell time and improve on-time performance
Identify process gaps and recommend improvements for efficiency and cost savings
Prepare daily/weekly operational reports and KPI dashboards for management
Required Skills & Qualifications
3+ years of experience in US trucking / logistics / 3PL dispatch operations
Prior experience leading or mentoring a dispatch team
Strong knowledge of dry van, reefer, or flatbed operations
In-depth understanding of US geography, time zones, and routing
Solid knowledge of DOT regulations, HOS, and ELD compliance
Hands-on experience with TMS, GPS tracking systems, and load boards
Excellent English communication skills (verbal & written)
Ability to work US night shifts and 6-day work schedules
Strong leadership, problem-solving, and multitasking skills
Preferred Qualifications
Experience working directly with US brokers and asset-based carriers
Knowledge of freight billing, detention, layover, and accessorial charges
Exposure to performance management and KPI-driven operations
Key Performance Indicators (KPIs)
On-time pickup and delivery percentage
Driver and fleet utilization rates
Reduction in dwell time and deadhead miles
Issue resolution and escalation turnaround time
Team productivity and adherence to SOPs
