RobotSkull (Vadodara / remote-hybrid as needed)

As Systems Coordinator you will be the connective tissue between our operations, digital systems, team, supply chain and customer-delivery processes. You will ensure that RobotSkull's internal systems (ERP, CRM, inventory, quality, SOPs) are designed, maintained and optimized for scale--helping us move from founder-driven chaos to system-driven excellence. You'll embed process discipline (FOCO ? FICO model) and ensure every key process is documented, monitored and improved

Map, maintain and optimize key business processes (ordering, inventory management, procurement, logistics, customer service, returns). o Work with leadership to define and document SOPs, workflows and process ownership o Work with leadership to define and document SOPs, workflows and process ownership across functions (e.g., production, import, logistics, sales). o Administer and maintain digital systems: ERP/CRM platforms, inventory control systems, reporting dashboards, MIS. o Track key operational metrics: lead time, order fulfilment, inventory turnover, system downtime, process SLA breaches. o Train staff on system usage, enforce process compliance, audit usage and drive continuous improvement. o Facilitate the transition from manual/spreadsheet-based operations to automated/ systemised workflows (supporting 10,000-hour mastery of systems). o Support change management: migrations, upgrades, system rollouts, process re engineering. o Liaise across functions to ensure system data is accurate, timely and integrated (sales ? inventory ? fulfillment ? returns). o Support vendor/technology partner management for system setup, implementation and upgrades. Required Skills & Qualifications o Bachelor's degree in Business, Systems, Information Technology, Operations or related field. o 3-5 years experience in operations/systems/process role--ideally in a manufacturing/ import/trading environment. o Working knowledge of ERP/CRM systems, inventory management, process mapping and system integration. o Strong analytical skills: able to build and interpret dashboards, identify process bottlenecks and propose solutions. o Excellent cross-functional collaboration, persistent in driving system-discipline, comfortable working in a scaling startup/SME. o Detail-oriented, process-mindset, able to switch between strategy and hands-on execution. o Comfortable with change, ambiguity and multiple stakeholders.
