As part of our growth strategy, we are establishing an Overseas Back Office Support Centre to manage systems, data, administration, and operational execution for our UK sites.

About the Role
This is a senior foundational role and will be our first overseas hire.
You will work directly with the UK Director to build, document, and manage the operational systemsthat support the business -- ensuring data accuracy, consistency, and reliable execution across departments.

Key Responsibilities
?
Phase 1 - Systems & Documentation (Foundation)
Work closely with the UK Director to:
Understand how the business currently operates
Document workflows, rules, and processes
Create Standard Operating Procedures (SOPs) for:
EPOS management
Stock control
Supplier ordering
Admin and reporting tasks
Build and structure a Notion workspace, including:
Company documentation
Department pages
Task tracking
Role-based dashboards
Create:
Job descriptions
Task checklists
Training and onboarding materials

Phase 2 - EPOS, Stock & Supplier Management
Manage and maintain the EPOS system, including:
Creating and maintaining products
Ensuring correct cost prices and selling prices
Managing margins and data accuracy
Oversee stock control, including:
Monitoring stock levels
Ensuring re-order points are set correctly
Flagging discrepancies and errors
Manage supplier ordering, including:
Automated ordering systems
Manual ordering for suppliers not compatible with automation
Maintaining supplier catalogues and pricing data

Phase 3 - Online Marketing Execution
(Execution, not strategy)
Manage day-to-day online marketing administration, including:
Uploading products and content
Maintaining accuracy of product information
Supporting promotions and campaigns as instructed
Coordinate updates across platforms such as:
Website
Online ordering platforms
Social media (posting, scheduling, updating information)
Ensure consistency of branding, pricing, and product data across systems

Phase 4 - Ongoing Operations & Team Support
Act as the senior overseas operations lead
Support onboarding and training of junior overseas staff
Monitor task completion and system compliance
Continuously improve documentation and workflows
Provide back-office support across retail and property operations

Essential Skills & Experience
Fluent written and spoken English
Experience in retail operations
(Wholesale/distribution experience is acceptable due to transferable skills)
Strong experience with:
EPOS systems
Stock control and inventory management
Supplier ordering processes
High attention to detail and accuracy
Comfortable managing multiple systems simultaneously
Experience documenting processes or creating internal guides

Highly Desirable Skills
Experience with Notion or similar tools
Experience using Sage accounting software
Ability to help document and improve its usage
Experience supporting online marketing operations
Data entry, reporting, or bookkeeping exposure
