JOB SUMMARY:
The Supplier Strategic Administration office will be the 'engine room' of the Global Supplier strategic
function, a team which focuses on high volume, process heavy activities (e.g. supplier on-boarding
including compliance checks and contracting, delivery of agreed SSM services to the client, supplier audit
responsibilities) as well as working with the wider SSM team to agree on a roadmap of 'central' activities
which can benefit the full team, e.g. SSM data and reporting requirements.
This role will be responsible for ensuring that the Supplier Strategic Administration office is set up to work
in a scalable, cost and time efficient manner, leveraging near-shore and off-shore location options and
automation as appropriate.
This role will partner with Supplier Manager and Relations resources to ensure alignment on supplier
on-boarding plans for new client implementations, and for major BAU projects with existing clients.
The Supplier Advisor supports the business with the right expertise and skills. They provide support to
client programs, their stakeholders and on- and off-site colleagues. Support consists of handling more
complex, not standardized, issues which requires in depth knowledge of systems and processes (i.e.
Vendor Vault).
Working around the three key components of supply chain to drive a professional supply advisor
function:
? People - localised market knowledge, functional expertise, scalable support structure, supplier
partnerships.
? Process - qualification and onboarding, contract management, compliance audit, performance
monitoring.
? Tech - global visibility, analytics, contract lifecycle management, supplier data management.
In conjunction with their line manager, this role will be responsible for working with the Supplier Manager
and Supplier Relations pillars to ensure that RSR suppliers (including Op Co's and preferred suppliers) are
on-boarded to new client accounts as per agreed business processes, and as requested. This role will also
be responsible for ensuring client and supplier satisfaction.
POSITION ACCOUNTABILITIES:
? Manage and support the onboarding process of 3rd party suppliers including contacting,
contracting and connecting agencies to tech systems across appropriate region(s)
? Update and manage internal databases accurately: data tracking and process improvements on
selected account(s)
? Back-office support of operations/account managers, MSP consultants
? Identification of needs and requirements of suppliers, account teams and support services (legal,
finance etc.) and advising them on how to use existing Supplier Management products and
services.
? Helping issue resolution (invoicing problems, logins, data changes) through coordination between
the necessary teams
? Creation of admin best practice and on-the-job training modules (designing process descriptions,
guidelines)
? Participation in internal calls with the team and accounts
? Driving knowledge sharing (organization and provision of training)
? Support Account teams (attending meetings with Operations lead, as appropriate, provide best
practice ideas plan and create necessary tooling, coordinate and run the project with Supply
Advisor team members)
? Administrative, back-office support to Supplier Managers during project implementation
? Carry out prescribed internal client management activities and provides support to others by
following existing procedures
? Manage complex questions and issues from suppliers, to support the organization.
? Provide support to client programs, by handling more complex, not standardized issues
? Act as an ambassador of the client, broad knowledge on client, trends, competitors
? Work with colleagues to solve issues; ownership for finding answers.
? Escalation handling and creating action plan based on feedback
? Monitor support process; verify appropriate approach of support
? Understanding of account SLAs in scorecards and support clients with expertise and give advice
on SLA requirements.
? Provide friendly and responsive support via email / ticketing system and phone / chat
? End-to-end client process knowledge.
? Understanding & practicing One Team approach
Data Collection & Analysis
? Maintain agency details (company, financial etc.) in internal (Salesforce) database accurately
? Compliance checking of suppliers, incl. gathering and reviewing certificates, proof documents of
details provided (e.g. liability certificates, financial proof documents etc.) based on agreed terms
& conditions / client requirements
? Produce accurate reports for others by collecting data from a variety of standard sources and
inputting that data into standard formats.
? Develop and create more complex (not standardized) reports on technical support activities.
EXPERIENCE:
? A minimum of 1 years of administration experience in (preferably) human resources or service
centre
? Experienced practitioner able to work unsupervised.
? Experience working in a commercial support environment.
? Preferably international experience in a staffing/recruitment organization.
? Experience on application support.
? Experience with implementations / project management experience.
