We are seeking a reliable, experienced, and detail-oriented
Stores Executive / Stores Officer
to lead and manage all store-related activities in a manufacturing environment. This position is crucial for ensuring smooth inventory control, proper storage, timely dispatch, and coordination with related departments. The ideal candidate will have a sound understanding of store management best practices, ERP systems, and compliance requirements.
Core Responsibilities: 1. Material Management
Receive, inspect, unload, and store incoming raw materials, bought-out items, consumables, and finished goods.
Verify materials against purchase orders and supplier invoices.
Ensure proper identification, labeling, tagging, and systematic storage as per
standard procedures.
If any discrepancies are found, report them to the purchasing or quality team.
Inspect incoming materials or parts for quantity and quality.
2. Inventory Control
Maintain accurate stock records through ERP or inventory management software.
Monitor and control inventory levels (Minimum/Maximum/Reorder levels).
Perform periodic stock audits, cycle counts, and reconcile discrepancies.
Implement FIFO (First-In, First-Out) and FEFO (First-Expiry, First-Out) systems for
material movement.
3. Documentation & Compliance
Prepare and maintain Goods Receipt Notes (GRNs), Issue Slips, Returnable/Non-
returnable Gate Passes, and Material Requisition Notes (MRNs).
Ensure documentation accuracy for traceability and compliance with internal and
external audits.
Adhere to ISO 9001, 14001, OHSAS, and 5S protocols.
Ensure compliance with safety and environmental norms.
Update inward and outward register daily.
4. Coordination & Communication
Coordinate closely with the Procurement Team to update stock positions and
pending receipts.
Work in sync with the Production, Planning, and Quality Control departments for
material availability and quality clearances.
Resolve material-related queries with suppliers or vendors.
5. Dispatch & Logistics
Organize and oversee dispatches of finished goods as per customer orders and
timelines.
Maintain dispatch documentation including delivery challans, invoices, and transport
records.
6. Housekeeping & Safety
Maintain cleanliness and orderliness of the store area.
Ensure proper usage of racks, pallets, bins, and storage zones.
Enforce material handling safety practices and ensure the safe operation of forklifts,
cranes, etc.
Implement and sustain 5S methodology in the store area
Key Skills & Competencies:
Proficiency in ERP systems such as SAP, Tally, Oracle, or similar.
Strong analytical and problem-solving ability.
Familiarity with engineering drawings, components, and Bill of Materials
(BOM).
Good interpersonal, communication, and team coordination skills.
Knowledge of ISO standards, 5S, material handling practices, and statutory
compliances
Educational Qualification:
Bachelor's Degree
Certification in Inventory Management / Warehouse Management will be an
added advantage.
Experience Required:
Minimum
2 years
of relevant experience in Stores or Warehouse Management
in an Engineering / Manufacturing industry.
Experience in handling engineering components and fast-moving inventory is
essential.
